SUMMARY: The HR & Benefits Coordinator will assist with a wide range of human resources and benefits items, including, but not limited to, open enrollment and new hire benefit enrollment meetings, benefit packet mailings, new hire orientation scheduling and logistics, resume screening, and new hire pre-employment screening scheduling. This HR professional will be adept at multi-tasking and have strong time management skills as this role will support many functions on an administrative level for the human resources department.

 

PRINCIPAL DUTIES & RESPONSIBILITIES:This list of duties and responsibilities is not all inclusive and may be expanded to include other duties and responsibilities, as management may deem necessary from time to time.

General Duties:

  • Supports talent acquisition and recruiting efforts, including but not limited to screening of resumes, scheduling of phone screenings and onsite interviews, as well as coordination of pre-employment actions.
  • Plans in-person and virtual New Hire Orientation sessions, 30, 60, 90-day roundtable discussions and other new hire onboarding and/or orientation meetings.
  • Partners with Executive Administrative Assistant on all logistics for New Hire Orientation: scheduling, technical needs, room setup, printing of materials, and coordination of group engagement/ activities i.e., virtual facilitators, etc.
  • Assists in the organization and set-up of OnePerlick engagement events and activities alongside Sr. HR Generalist, Perlick Family, OnePerlick Committee, and others, as needed.
  • Manages logistics of Perlick employee recognition programs (e.g., Monthly/Annual Perlick Awards, sporting team sponsorship), in partnership with the Sr. HR Generalist and Executive Administrative Assistant.
  • Tracks and analyzes results from HR related Microsoft Forms surveys – including, but not limited to, new hire, exit, intern wrap-up, and new hire announcement surveys.
  • Partners with Total Rewards Specialist and Sr. HR Generalist to support document retention efforts, including uploading of employment files, per company policy.
  • Participates in various administrative audits, ensuring high accuracy and compliance.
  • Serves as a point of contact for employees; responds to general questions, issues and concerns timely and escalates when appropriate.
  • Serves actively as the notetaker for various meetings, ensuring accurate notes, comments and questions are recorded for review after meetings.
  • Assist with employee password and HRIS account reset needs.

Employee Benefits Coordination:

  • Provides day-to-day administrative support for employees and HR team regarding benefit processes such as enrollment, terminations, changes, beneficiary designations, and disability claims.
  • Works with employees and HR to respond to employee benefits-related questions.
  • In collaboration with the Total Rewards Specialist, coordinate onsite wellness activities such as flu shots & biometric screenings.
  • Complete benefit onboarding for all newly eligible production/shop associates after appropriate waiting period; ensure timely offering and enter enrolments into HRIS system.
  • Work with associates on mid-year enrollment changes and qualifying life events
  • Assist with annual Open Enrollment planning, communication and execution.
  • Coordinate and complete required mailings related to benefit compliance.
  • Work with third party leave administrator and Total Rewards Specialist to monitor leave requests, including maternity/paternity/parental leave. Ensure leave eligibility and appropriate return to work.
  •  Responsible for employee, visitor and contractor badge printing and time tracking/security updates.
  • In conjunction with Total Rewards Specialist, prepare all termination paperwork for hourly and salaried employees.
  • Supports HR team on projects and other duties as needed.

QUALIFICATIONS & REQUIREMENTS: The requirements listed below are representative of the knowledge, skill, and/or ability required to be successful in this role.

  • Associate degree in Human Resources or related field required; Bachelor’s degree preferred
  • 2-3 years of experience within the HR field; exposure to employee benefits, leave administration and recruitment desirable.
  • Calendar management skills required for both self and others.
  • Ability to maintain strict confidentiality and prioritize work direction from multiple HR managers.
  • Strong understanding of benefit requirements and compliance.
  • Ability to communicate with all levels of the organization in an effective manner.
  • Microsoft Office 365 Expertise required (Outlook, Word, Excel, Teams, etc.)
