Overview
UW Credit Union is hiring a Total Rewards &Operations Coordinator! This collaborative individual will support operations within the People Strategies and Solutions team - including Payroll, Rewards and HRIS.
As an ambassador in the employee experience, this individual serves as the main point of contact to employees for Total Rewards-related questions and resources. As a relationship-driven individual, this role is responsible for collaborating with People Strategies and Solutions (PSS) teams to ensure and enhance data integrity and reporting functionality for HRIS employee data. This highly interactive person engages with employees at all levels in the company and vendors to provide service and respond to requests. This organized individual works with the Total Rewards Manager to provide meaningful communication, reporting and develops efficiencies with routine and complex processes. This is a 32-hour-per-week position with a flexible schedule. This is a hybrid position.
Responsibilities
Administration of Health & Welfare Benefits - 40%
  • Responsible for daily administration of employee benefit programs including health, dental, vision, employer-sponsored benefit accounts, flexible spending, EAP, life, disability, critical illness, and retirement.
  • Supports administration of the UW Credit Union Retirement Savings Plan & Trust. This includes coordinating training and events, enrolling & terminating plan participants, contribution changes, beneficiaries, rollover, qualified domestic relation orders (QDROs), distributions, loans, hardships, monitoring contribution limits and annual compliance testing.
  • Receives and processes employee benefit enrollments for new hires, life event changes, and Open Enrollment.
  • Develops education and training in collaboration with benefits vendors, HR staff and stakeholder groups for employees and covered dependents on how to select, enroll, and utilize benefit offerings and plan resources.
  • Assists with Affordable Care Act (ACA) compliance activities. Assists in determining employee eligibility. Assists with completion and generation of the Company 1095-C forms to employees.
  • Processes/reconciles insurance billing invoices as directed by the Total Rewards Manager.
  • Monitor COBRA eligible terminations while tracking payments

Leave Administration - 25%
  • Administers Paid Leave Policies ensuring accurate accruals are assigned to new hires and educates managers and employees regarding policy interpretation and application.
  • Responsible for daily administration of employee leave programs including FMLA, personal leaves, Worker's Compensation, and ADA Accommodation requests.
  • Monitors critical deadlines related to all leaves including Notification of Eligibility, Rights & Responsibilities, Certification of Health Care Provider, Designation of Leave, Return to Work, and Fitness for Duty.
  • Communicates with the employee's manager regarding impact to work schedule, leave dates, return to work, and use of ETO.
  • Educates employees regarding the Short-Term Disability (STD) benefit. Provides information as requested to STD provider, monitors employee claims, and coordinates payments.
  • Coordinates workers compensation claims including case management with appropriate insurance companies. Provides information to the safety committee as it pertains to workers compensation claims.

Time & Attendance/Payroll Support - 10%
  • Process new hire setups, terminations, and other employment changes in payroll systems and timekeeping systems.
  • Coordinates timecard maintenance with home departments. Verifies their accuracy, completeness and compliance.
  • Reviews and processes data including changes in pay, hours, location, supervisor, deductions, accruals, and employment type status.
  • Interprets payroll policies, procedures and regulations for others. Researches payroll issues and follows up with the employee, manager, and others as appropriate.
  • Auditing Duties: performs ongoing audits of payroll and benefits deductions to ensure accuracy. Assist in gathering information for internal/external audits as applicable.
  • Partner with IT, Accounting & Human Resources staff to implement improvements as necessary for efficiency.
  • Educates managers and employees regarding use of timekeeping systems, policies and procedures.
  • In conjunction with Accounting, facilitates management and employee understanding of payroll procedures. Identifies and provides training opportunities to promote employee self-service when using payroll and timekeeping systems.
  • Works with the time & attendance/payroll vendor to maintain system, coordinate upgrades/improvements to maximize system capabilities and resolve issues.

PS&S Team & Human Resources Information Systems Support - 15%
  • Coordinates the collection of new hire documentation.
  • Provides documentation necessary for employee terminations in coordination with HR Service Partner.
  • Ensures smooth transfer of benefit information across relevant human resources information systems and benefit carriers based on effective dates.
  • Responds to employment and unemployment data requests.
  • Report, analyze and interpret Total Rewards related data as required.
  • Responsible for the management and administration of employee personnel files including medical files.

Compensation & Wellbeing Support - 10%
  • Facilitate the accurate input and updating of all compensation information for all UWCU staff to ensure the smooth flow of information and integrity of data between appropriate human resources information system.
  • Supports planning and execution of employee challenges, education, annual Health Risk Assessments, Biometric Screenings and flu shot clinics.
  • Supports program administration including maintaining accurate and current job descriptions, Compensation Committee administration within relevant human resources information systems, completion of compensation surveys, annual base increases, variable reward payout and incentive compensation programs.

Qualifications
  • Able to work 32 hours per week (.8 FTE)
  • Associate degree required, bachelor's degree preferred; or equivalent amount of experience.
  • Familiar with and adheres to all pertinent federal and state regulations including FMLA, HIPPA, ERISA, FLSA.
  • Proficient with Microsoft Office products, with strong excel experience.
  • Ability to handle confidential and sensitive information with strict confidence.
  • Attention to detail in establishing priorities, completing assignments, and meeting deadlines.
  • Strong presentation, verbal and written communication skills.
  • Demonstrated analytical, accuracy, and problem-solving skills.
