Job Description
The Human Resources and Administrative Assistant is responsible for coordinating and conducting administrative duties for the Human Resources Department and Vice President of Operations.
RESPONSIBILITIES & DUTIES:
- Act as a point of contact for the manpower agencies to build relationships, trust, and accountability by proactively communicating and creating regular touchpoints
- Providing timesheet reports and managing report with temporary staffing agency
- Daily schedules for temporary staffing
- Work alongside the Manufacturing Operations team to proactively support their day-to-day needs
- Monitor the email inbox and calendar of the VP of Operations to ensure timely communications, responses and assignment of tasks
- Prepare, draft, edit and format letters, reports, presentations, spreadsheets, and other correspondence using Microsoft Applications Suite
- Preparation and maintenance of documentation, presentations and best practice guidelines
- Handle outgoing correspondence or respond to client requests via e-mail or letter
- Preparing agendas and materials for meetings
- Co-ordinates daily and weekly task and project updates for the VP of Operations
- Employee record keeping and file maintenance
- Back-up for reception
- Assist the HR team in a variety of weekly, monthly, and ad hoc tasks
JOB SPECIFICATIONS:
KNOWLEDGE/EDUCATION/EXPERIENCE:1 years experience in a corporate environment required; post-secondary education preferred
INTERPERSONAL SKILLS/CONTACTS:access to confidential or sensitive information; some internal interactions and/or some minor external interactions; purpose of internal/external contacts is not related to complex matters; no selling, negotiating, consulting, teaching/instructing, or advising; standard level of written and verbal communication skills required for successful job performance
