Administrative Assistant - Human Resources Generalist
POSITION PURPOSE: To assist in performing a variety of responsible and confidential duties to support the day-to-day operations and activities of the Human Resources Department.
ESSENTIAL FUNCTIONS:
- Coordinates/Processes personnel paperwork from building administrators/hiring managers related to the employment and on-boarding of employees.
- Processes all telephone, written and electronic communications. Directs calls/communications to appropriate personnel.
- Serves as a communication link between administrators/community leaders and the office of Human Resources.
- Maintains a filing system for correspondence, medical records, reports, confidential files and other documents.
- Creates and coordinates advertising, marketing, and promotional activities related to personnel matters.
- Assists in creating and processing School Board agendas by assembling supporting documents for board meetings using electronic, paperless website.
- Maintains HR records and assists in the coordination of organizing and managing the on-line application system and orienting new employees.
- Organizes the preparation of documents for Human Resources as requested.
- Researches and summarizes information and supporting data in preparation for meetings as assigned.
- Keeps personnel files up to date.
- Assists technology with any data needed to complete assigned state and federal reporting related to personnel and Human Resources.
- Performs other duties as assigned.
REQUIREMENTS:
- Must be at least 18 years of age
- Bachelor's or Associate's degree preferred.
- SHRM-CP or the SHRM-SCP preferred.
- At least 3 years of experience as an HR Generalist or HR Specialist
- A minimum of 3 years of extensive experience with various HRIS (Human Resource Information System) systems.
- Experience in assisting with the onboarding and orientation processes.
- Proven experience in implementing provisions of the Employee Handbook.
- Prior experience in a school, county or state HR department is preferred.
QUALIFICATIONS:
- Strong oral and written communication skills
- Strong attention to detail
- Excellent proofreading, writing, and grammar, spelling, and word processing skills
- Highly motivated and open-minded; a self-starter who will assume initiative and responsibility for projects while being open to change and/or the suggestion of others.
- Excellent organizational skills with the ability to prioritize work assignments and flexible enough to cope with unexpected changes.
- Knowledge of and ability to utilize technology to accomplish a variety of work tasks, including familiarity with a variety of software programs (i.e., e-mail management, database management, Excel financial management, web-based programs, etc.).
- Ability to build rapport, possess strong interpersonal communication skills with co-workers, Board Members, staff members and patrons, friendly & helpful disposition.
- Ability to work accurately in a fast-paced work environment and maintain confidentiality in all school matters.
- Ability to evaluate and examine processes and systems, related to smooth departmental operations.
- Ability to deescalate concerns with community and staff members
- Follows up, follows through, and completes tasks
- Ability to function and contribute to a team atmosphere.
- Experience in Human Resources is desirable
- Familiarity with FMLA, workers compensation and employee leave
- Proven ability to manage multiple tasks and deadlines simultaneously.
WORK CALENDAR: 52 weeks per year; 260 days per year; 40 hours per week; 7:30am - 4:30pm
SALARY: $18.50-$21.50 per hour, rate is dependent upon education and/or experience. (Schedule #20-1.4)
