Job Description: Financial Administrative Assistant
Location: Gruppo USA, Inc. 1102 Broadway, Brooklyn, NY
Position Summary:
As a Financial Administrative Assistant, you will play a key role in supporting our financial processes and assisting the Project Accountant. Your responsibilities will include a blend of financial, bookkeeping, and administrative tasks, ensuring the efficiency and accuracy of our financial operations.
Key Duties and Responsibilities:
· Liaison with Project Accountant: Regularly communicate with the Project Accountant to determine daily priorities and ensure alignment on tasks.
· Financial Transaction Management: Research and accurately record financial transactions on a daily basis, ensuring each is assigned to the correct project.
· Timesheet Management: Collect and complete timesheets from field installers, verifying accuracy and compliance with project and payroll timelines.
· Invoice Processing: Review, record, and file invoices from vendors, ensuring they are processed in a timely and accurate manner.
· Payment Reconciliation: Match incoming and outgoing payments with their respective remittances or invoices, ensuring accuracy in all financial records.
· Filing System Maintenance: Organize and maintain a filing system for invoices and remittance advisories for easy retrieval and reference.
· Project Expense Queries: Actively request and gather information from Project Managers regarding project-related expenses.
· Expense Processing: Efficiently process business and employee expenses, ensuring all expenditures are accounted for and authorized.
· Administrative Support: Provide comprehensive administrative support to the Project Accountant, including but not limited to, handling additional tasks as required.
Qualifications:
· Proven experience in a Financial Administrative role or a similar role.
· Strong organizational and time-management skills.
· Excellent communication and interpersonal abilities.
· Proficiency in accounting software and MS Office.
· Attention to detail and problem-solving skills.
· A team player with a proactive approach.
