This is a hybrid role that requires some on-site work (inside our Indianapolis, Indiana office). In addition to the on-site duties, there are additional responsibilities that can be completed outside of the office, resulting in this being a hybrid role.

You will leverage your expertise to best serve our members:

  • Facilitate and assist with prioritizing the workflow of the CEO.
  • Provide senior-level administrative support and assistance to the CEO and/or other assigned Executive Team members.
  • Receive incoming communication or memos on behalf of CEO or Executive Team; review contents, determine importance, and summarize and/or distribute contents to appropriate team members.
  • Organize, schedule, and prepare for meetings; including but not limited to gathering documents in advance, room setup and other room logistics, attending meetings, taking notes and/or recording minutes.
  • Perform clerical and administrative tasks including drafting letters, memos, invoices, reports, and other documents for CEO and Executive Team when requested.
  • Manage scheduling for company executive(s).
  • Draft, review, and send communications on behalf of CEO.
  • Answer and respond to phone calls; communicate messages and information to the Executive Team.
  • Coordinate travel arrangements and expenses for CEO and other executives when requested.
  • Maintain various records and documents for company executive(s).
  • Solve administrative problems independently.
  • Demonstrate a proficiency with technology, including mastery with Microsoft Word and PowerPoint.
  • Perform additional duties as assigned by executives.

You will make a difference as you live out our purpose:

  • Establish a smooth and efficient process and environment for monthly meetings with our Board of Directors and as needed, external vendor partners.
  • Lead agenda planning, audio/visual support, and meeting support for both in-person and virtual meetings.
  • Serve as the point person for meetings’ technology and catering needs.
  • Serve as the liaison for the Board of Directors, including on-boarding of new members, communication, compiling and distributing board materials, and supporting board member access to the portal and the building for in-person meetings.

You will help grow the business:

  • Build rapport and use relationship skills, representing Element’s in a professional manner with team members and Elements’ partners.
  • Work collaboratively with all areas of Elements Financial.
  • Influence various aspects of the business through excellent report preparation, recordkeeping, expense and budget management, audit preparation, presentation development, meeting preparation and event planning.

Minimum Requirements:

  • Strong collaboration and communication (both verbal and written) skills.
  • A focus on respect and excellent service to both external and internal (team) members.
  • Excellent organizational skills and attention to detail.
  • Excellent time management skills with a proven ability to meet deadlines.
  • High school diploma or equivalent plus 5 years related experience (preferably C-suite), or a degree in a related field with 3 years of experience.
  • Consistently show confidence while maintaining a high level of confidentiality and professionalism.
  • Must possess solid technical skills and ability to keep up to date with numerous software packages.
  • Ability to function well in a high-paced and at times stressful environment.
  • Possess a “Fix it” and “Process Improvement” mentality with an ability to stay calm and find solutions when things go awry.
  • Extensive knowledge of office administration, clerical procedures, and recordkeeping systems. Microsoft Office Suite required.
  • Ability to foster an inclusive environment that promotes belonging.
  • A proven track record of integrity with a demonstrated ability to build trust.

Job Type: Full-time

Pay: $50,155.00 - $75,230.00 per year

  • High school or equivalent (Required)

Experience:

  • administrative assistant: 3 years (Preferred)
  • Executive Assistant (preferably C-suite): 3 years (Preferred)
  • Microsoft Office Suite: 1 year (Preferred)

Ability to Relocate:

  • Indianapolis, IN 46202: Relocate before starting work (Required)
