ADMINISTRATIVE ASSISTANT - EXECUTIVE PROJECTS
JOB OVERVIEW: We are seeking a highly skilled Administrative Assistant to support high-level Executive Projects within our dynamic organization. The ideal candidate will possess exceptional proficiency in Microsoft Excel, outstanding communication skills, and the ability to thrive in high-stress environments. The role requires energy, meticulous attention to detail, familiarity with scheduling, and some proficiency in QuickBooks.
KEY RESPONSIBILITIES:
- Executive Project Support:
- Provide comprehensive administrative support to executives, assisting with project coordination, documentation, and follow-up tasks.
- Provide administrative support to the management team.
- Manage calendars, schedule appointments, and coordinate meetings.
- Prepare and distribute correspondence, memos, and reports.
- Assist with document management, including filing, scanning, and archiving.
- Perform data entry and maintain accurate records.
- Answer phone calls and respond to inquiries in a professional manner.
- Assist with front desk duties, including managing the reception area.
- Coordinate travel arrangements for staff members.
- Assist with event planning and coordination.
- Microsoft Excel Expertise: Utilize advanced Excel skills to create, maintain, and analyze complex spreadsheets, reports, and data sets, ensuring accuracy and efficiency.
- Communication: Serve as a primary point of contact for internal and external communications, demonstrating professionalism and clarity in all interactions.
- High-Stress Environment Management: Effectively manage competing priorities, tight deadlines, and unexpected challenges with resilience and composure.
- Energetic Support: Bring a proactive and enthusiastic approach to tasks, maintaining a positive attitude and fostering a collaborative work environment.
- Attention to Detail: Execute tasks with precision and thoroughness, meticulously reviewing documents, schedules, and financial records for accuracy and completeness.
- Scheduling: Coordinate complex calendars, meetings, and travel arrangements for executives, optimizing efficiency and accommodating shifting priorities.
- QuickBooks Proficiency: Assist with basic accounting tasks, such as invoice processing, expense tracking, and financial reporting, using QuickBooks software.
- Administrative Efficiency: Streamline administrative processes, implement organizational systems, and contribute innovative ideas for enhancing productivity.
- Confidentiality: Handle sensitive information with discretion and maintain confidentiality in all aspects of job performance.
QUALIFICATIONS:
- Bachelor's degree preferred, or equivalent work experience.
- Proven experience in administrative support roles, preferably in high-pressure environments.
- Exceptional proficiency in Microsoft Excel and Microsoft Word, with advanced formatting, document creation, and editing skills.
- Outstanding written and verbal communication skills, with a keen attention to detail.
- Ability to thrive in fast-paced, high-stress environments, demonstrating adaptability and resilience.
- Energetic and proactive approach to tasks, with a strong commitment to teamwork and collaboration.
- Familiarity with scheduling software and QuickBooks accounting software is highly desirable.
- Experience in the construction industry is a plus, though not required.
- Strong organizational and multitasking abilities, with a demonstrated track record of prioritizing and managing competing demands effectively.
Job Types: Full-time, Part-time
Pay: $16.00 - $23.75 per hour
Expected hours: 25 – 45 per week
