Job Description
The Executive Assistant (EA) to the CEO is a facilitator of the CEO’s priorities, enabling the CEO to
collaborate most effectively with stakeholders and fulfill his commitments to the Orlando Economic
Partnership's (OEP's) partners and board of directors.
The role is highly strategic and requires flexibility and a willingness to play an active, behind-thescenes role. The EA works with all OEP teams using a broad skill set and makes sure that the
CEO’s commitments of time move the needle.
The position reports directly to the CEO and includes, but is not limited to, the following
responsibilities:
• Preparation for, and facilitation of, "critical path" CEO meetings (e.g., with OEP senior
management, board officers/members, Governors Council representatives, government
partners and peer executives): While members of any of these groups may initiate these
meetings through the CEO's Executive and be responsible for inviting and preparing the
participants, the EA is accountable to ensure that the meeting objectives are clear, that
preparation is appropriate and that the CEO is well-prepared.
• The EA’s role is to make sure the CEO's time is leveraged effectively in a meeting context.
This may mean querying OEP senior management and assisting in their preparation for their
interactions with the CEO, ensuring that what is presented includes a situation analysis,
options and, ideally, a recommendation.
DUTIES & RESPONSIBILITIES
Specific responsibilities include:
• Ensuring the CEO is well-briefed.
o Working closely with CEO's schedule and managing all upcoming commitments.
o Confirming participants and objectives for meetings.
o Developing bios and background papers for CEO.
o Helping ensure participants are aware of and prepared.
o Preparing packets for and attending weekly management team meetings
o Coordination/orchestration of projects and regularly scheduled meetings directly
involving the CEO:
• Collaborating with the leadership team to ensure that the CEO's needs are conveyed, that
progress is being made in a timely manner and that any demands on the CEO's schedule
are understood and agreed upon.
o Schedule regular internal meetings (staff, management team, etc.) for the CEO and
prepare materials.

• Collaborating with colleagues to obtain materials (agendas, speaking notes, outlines, etc.)
o Preparing presentations and talking points as necessary or collecting them from staff.
o Preparing follow-up correspondence for internal and external meetings.
o Collaborating with leadership team to ensure needs are communicated to the CEO in
a timely manner.
o Schedule opportunities to advance strategic initiatives with partners.
o Pro-actively schedule regular communication so government contracts are updated
on progress.
