FULL DESCRIPTION:
The primary responsibility of this position is to be the go between to the President of the company and keep his schedule, mail, billing and other responsibilities in order. The ideal candidate will protect his time with handling the administrative duties of the job and be able to access the level of importance of calls, mail and other things that may come up. Must be able to prioritize the requirements of the job and assist the president with projects as required.

Job Duties:
Executive Administration
· Check with the President daily his schedule, any urgent projects needed and follow up with his schedule.
· Maintain Presidents calendar, coordinating meetings and making travel arrangements, reconcile expense reports, etc.
· Support him about meetings, breaks, etc.
· Be the gatekeeper.
· Receive all President's phone calls and access the importance level - pass on only important calls and be able to help with the others.
· Office/Admin duties - typing letters, office tasks, assigned work projects and any other urgent needs that should arise.
· Handle the Presidents physical mail. In this process, assess what is junk mail and what is urgent mail that needs to be addressed immediately. Meet with president daily and prioritize.
· Handle and execute respond to e-mails passed by the President.
Accounting- approximately one-half of daily duties.
· Process low level bills for timely payment.
· Manage scheduled vendor bills, reconcile to actual and follow up with vendor if required.
· Process daily invoicing of one division's daily billing. Use company ERP system, process, reconcile and trouble shoot errors/omissions and/or questions according to company SOPs. Report any patterns of errors/omissions and/or inconsistencies.
· Support administration of Company 401k plan for all participants and others withing DOL/IRS guidelines. Specifically, enrollment, loans, distributions, terminations, distribution of communications for participants & others, record keeping that supports annual audit.
Project management (minor)- on an as needed basis.
· Facility maintenance. Contact and manage approved vendors for facility maintenance and repairs. Work with department and company off-site managers in the assessment, scheduling and execution of repairs and maintenance. Responsible the summarizing the assessment of required needs, contacting & scheduling of plumbers, electricians, lighting, landscaping, appliance and general repairs on the premises for 3 locations (travel NOT required).
Manage, communicate, and monitor the vendor's(s) access to company facilities, entry/exit and assign supervision when location is other than Lynwood.
This process includes initial contact, project overview, obtaining bids, approval, scheduling, monitoring, quality assessment, project close and payment reconciliation to approved bid.
· Special projects. This will include participation to support audits and/or any engagements the President has underway.
General Office
· Manage daily Federal Express shipments from the Lynwood facility.
· Occasional partial general receptionist support/coverage (breaks) when staffing needs are unexpectantly short.
Professional Requirements
· A professional demeanor and appearance that matches the President.
· Confidentiality is key, a non-disclosure agreement is required. All information must be kept private and confidential.
· Executive communication skill level is a priority, and always pleasant when doing so. This skillset is required in verbal, written, email, text, video/photo and in person interactions.
· Microsoft Office proficiency: Windows, Excel, PowerPoint, Outlook.
· Technology proficiency: High level, strong intuitive sense & understanding in the use of general office tools- operation of general workstation, lap top, digital phones, mobile devises, printing, faxing.
· Work ethic. This position requires a commitment to quality, accuracy, timeliness and efficiency. The life work balance is always respected and held as the standard, but the person in this position must observe a commitment to their use of time to produce the results expect and getting the job done both accurately and on time.
Salary Range $55k-85k
