SUMMARY:
Seeking an experienced Executive Administrative Assistant with comprehensive knowledge of the President's Office operations in a graduate higher education institution. The Executive Administrative Assistant will perform various complex and responsible duties for the office of the President and CEO, ensuring high efficiency in calendar management for the President. The primary function of this position is strategic coordination of the President's schedule. They will maintain the confidentiality of appropriate information, relieve the President of administrative and procedural details, including oversight of the office's day-to-day operations, and perform other duties as required. The role involves day-to-day presidential activities, donor stewardship, and institutional engagements.
The role involves:
- Complex calendar management and email and phone correspondence: scheduling, reviewing, and assessing the President's short-term and long-term scheduling priorities.
- Work closely with the President to ensure effective time management.
- Prioritize daily and monthly schedules, internal and external meetings, events, and travel coordination and itinerary planning for domestic and international with keen attention to detail.
- Conducting research and taking extensive meeting notes in preparation for board meetings
- Processing expense reports and assisting with accounting duties as needed
- Creating pitch decks and presentations for management
- Ensure timely planning and preparation for meetings and events by collecting and compiling required information and materials.
- Managed briefing materials, presentations, and information flow and tracked correspondence for the President's Office.
- Serve as a primary point of contact and intermediary between the President and various internal and external constituencies (faculty, staff, students, and members of the public).
- Assisting with office management tasks as needed
- Special project-related tasks as needed
REQUIREMENTS
- Six years experience providing high-volume scheduling and administrative support for a President/Chief Executive Officer or other senior official at a comparable organization.
- Strong time management, attention to detail, organizational skills, and ability to set priorities and respond quickly as priorities change.
- Ability to handle the high volume of scheduling matters in a fast-paced environment.
- Strong interpersonal skills with an ability to build good relationships with peers and to interact with senior administrators and diverse campus constituencies.
- Strong verbal and written communication skills and ability to collect, compile, and organize information and provide summary reports.
- Ability to anticipate needs and work proactively to solve problems.
- Keen attention to detail, commitment to excellence, and outstanding customer service.
- Good judgment, appropriate discretion, and tact in handling sensitive matters and interacting with students, staff, public officials, and other constituencies.
- Ability to project a professional, polished image representing the Office of the President.
- Excellent technological skills with high proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and various virtual meeting platforms required.
- Demonstrated successful executive support skills, including considerable independent judgment, strong ability to anticipate needs and address them proactively, and ability to use discretion and make sound decisions having a broad administrative impact and implications
- Demonstrated ability to effectively interpret, organize, and present information and ideas in written or presentation form.
PAY RANGE:
$30-$36/hour
