Job Overview:
Brian Marketing Group is seeking an experienced and detail-oriented Executive Assistant to provide dedicated support to our Chief Executive Officer. The ideal candidate will be a strategic partner to the CEO, ensuring efficient operations and contributing to the success of our dynamic marketing organization.
Responsibilities:
- Calendar Management:
- Coordinate and manage the CEO's schedule, including meetings, appointments, and events.
- Proactively handle scheduling conflicts and prioritize tasks to optimize the CEO's time.
- Communication:
- Serve as a key point of contact for internal and external communications on behalf of the CEO.
- Draft and edit emails, reports, and other communications with a focus on clarity and professionalism.
- Information Management:
- Maintain organized and confidential files, documents, and records.
- Conduct research and compile data to support strategic decision-making.
- Meeting Preparation:
- Prepare comprehensive meeting agendas, materials, and distribute them in a timely manner.
- Attend meetings, take accurate minutes, and ensure follow-up on action items.
- Travel Coordination:
- Arrange travel plans, accommodations, and itineraries for the CEO, considering preferences and business requirements.
- Manage travel logistics, including visa applications and timely expense reporting.
- Office Operations:
- Oversee administrative tasks to ensure the smooth functioning of the executive office.
- Collaborate with various departments to facilitate cross-functional initiatives.
- Special Projects:
- Work closely with the CEO on special projects, providing support and coordination.
- Take the lead on specific initiatives to drive marketing and organizational goals.
Qualifications:
- Bachelor's degree in Marketing, Business Administration, or a related field.
- Proven experience as an Executive Assistant supporting C-level executives, preferably in a marketing environment.
- Exceptional organizational and time management skills.
- Strong written and verbal communication abilities.
- Proficient in office software (MS Office, Google Workspace).
- Discretion and ability to handle sensitive information.
- Flexibility to adapt to changing priorities in a dynamic marketing environment.
