Job Title: Executive Assistant to CEO
Job Summary:
The Executive Assistant to the CEO provides high-level administrative support to the Chief Executive Officer (CEO) and plays a crucial role in ensuring smooth and efficient operations at the executive level. This position involves managing the CEO's schedule, handling confidential information, and coordinating various tasks to facilitate the CEO's responsibilities.
Responsibilities:
1. **Calendar Management:**
- Schedule and organize meetings, appointments, and events for the CEO.
- Prioritize and coordinate the CEO's calendar to ensure optimal time management.
2. **Communication:**
- Screen and manage incoming calls, emails, and other communications.
- Draft, review, and prepare correspondence on behalf of the CEO.
- Maintain open lines of communication between the CEO and internal/external stakeholders.
3. **Travel Arrangements:**
- Plan and coordinate domestic and international travel arrangements for the CEO.
- Prepare detailed itineraries and ensure all travel logistics are in order.
4. **Information Management:**
- Handle sensitive and confidential information with discretion.
- Maintain organized and up-to-date files, documents, and records.
5. **Meeting Support:**
- Attend meetings with the CEO, take minutes, and follow up on action items.
- Prepare materials and presentations for meetings as required.
6. **Project Coordination:**
- Assist in coordinating various projects and initiatives as directed by the CEO.
- Work closely with other departments to ensure project deadlines are met.
7. **Office Management:**
- Oversee the CEO's office, ensuring a clean and professional environment.
- Manage supplies, equipment, and other administrative needs for the executive office.
8. **Relationship Management:**
- Build and maintain positive relationships with internal and external stakeholders.
- Act as a liaison between the CEO and other executives, employees, and clients.
9. **Special Assignments:**
- Handle special assignments, research, and other tasks as assigned by the CEO.
- Proactively identify areas where support is needed to enhance the CEO's effectiveness.
Qualifications:
- Bachelor's degree in business administration, management, or a related field.
- Proven experience as an Executive Assistant or in a similar role supporting high-level executives.
- Excellent organizational and time-management skills.
- Strong written and verbal communication abilities.
- Proficient in office software (Microsoft Office Suite, Google Workspace, etc.).
- Ability to handle confidential information with discretion.
- Flexibility and adaptability to handle changing priorities and fast-paced environments.
- Exceptional attention to detail and problem-solving skills.

Pay: $79,034.00 - $87,145.00 per year
