LOCATION: (Must reside in NYC)

GENERAL SUMMARY

The Temporary Executive Assistant provides a high level of support activities for the Chief Executive Officer and is a representative of the NKF and the CEO's office to volunteers, partners, and government agencies. This individual will serve as the primary point of contact for internal and external constituencies for all matters pertaining to the Office of the CEO. This role will require working closely and collaboratively with appropriate team members to perform a wide range of duties. This position is a crucial liaison between the organization and its National Board of Directors and works closely with the Director of Strategy Execution (Chief of Staff) to ensure a positive and effective relationship between board members and staff. The Executive Assistant will exercise independent judgment in the resolution of administrative duties and prioritize and manage multiple projects simultaneously with little supervision. S/he will report directly to the Chief Executive Officer with dotted-line (or indirect) responsibilities to the Chief of Staff.

PRINCIPAL DUTIES AND RESPONSIBILITIES

The TemporaryExecutive Assistant performs the following functions, including but not limited to:

Board Support
Under the direction of the CEO and Chief of Staff, plans, coordinates, and executes National Board Meetings, including logistics and substantive preparation by NKF staff. S/he will create the Board Book, engage Board members as needed, provide onsite support, and prepare minutes.

  • Maintains a board calendar and ensures compliance with deadlines and reporting requirements.
  • Coordinates onboarding for new board members, including orientations with key NKF teams.
  • Proactively and seamlessly supports the Office of the CEO by ensuring follow-up or execution of tasks following board meetings.
  • Manages board and staff accounts in the NKF board platform.
  • Creates document content and prepares materials under the direction of the CEO, Chief of Staff, and Senior Staff in support of board meetings.

Executive-level Support to the CEO

  • Provides comprehensive support services to the CEO that ensure a professional, responsive, and effective experience with the organization.
  • Coordinates and maintains the CEO's schedule and calendar. Ensures the CEO’s schedule is managed effectively. Schedules and coordinates meetings and conference calls.
  • Becomes immersed in NKF programs, services, and initiatives to provide a “gatekeeper” and “gateway” role. Leverages business expertise to create win-win situations for direct access to the CEO’s time and office.
  • Creates, develops, revises, and updates content for communications, correspondence, presentations, and reports.
  • Manages a variety of complex projects for the CEO.
  • Acts as a barometer for the issues in the NKF workplace, helping keep the CEO apprised and updated.
  • Maintains a high level of confidentiality and discretion pertaining to all NKF personnel and financial matters.
  • Develops and maintains positive working relationships with all levels of staff and volunteers.
  • Coordinates the agenda of senior staff meetings, off-sites, and other senior-level meetings as needed.
  • Manages and approves leave requests for the CEO’s direct reports on behalf of the CEO.
  • Manages and approves expense requests for the CEO’s direct reports on behalf of the CEO in Concur.
  • Takes minutes or notes when needed; maintains records of follow-up actions and tracks completion of these actions following meetings.
  • Creates PowerPoint presentations and accompanying materials with style and accuracy.
  • Coordinates travel arrangements for the CEO and prepares travel itineraries with all necessary details to facilitate travel and meetings.
  • Organizes and prioritizes large volumes of information and calls to the CEO’s office.
  • Performs special projects and follows through to successful completion autonomously, often with deadline pressures.

MINIMUM QUALIFICATIONS

  • Bachelor’s Degree from an accredited college or university is preferred.
  • Minimum 7 years experience providing the highest levels of support for C-Level Executives, National Boards, and external constituents, preferably with a national nonprofit health organization.
  • Demonstrated knowledge and proficiency in the following software applications: Microsoft Word, Excel, PowerPoint, and Outlook.
  • Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of support and response.
  • Expert-level written and verbal communication skills.
  • Strong organizational skills that reflect the ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
  • Forward thinker who actively seeks opportunities and proposes solutions.
  • Displays engaging interpersonal skills, including the ability to think and act strategically, provide sound judgment, and provide a positive and energetic attitude.
  • Highly resourceful team-player, with the ability to also be extremely effective independently.
  • Provides systematic and dependable follow-up and a high level of organization and preparedness.
  • Maintains workflow under pressure and in a fast-paced, high-profile work environment.


WORKING CONDITIONS, EQUIPMENT USED AND SPECIAL INFORMATION

Must have unimpeachable integrity and trustworthiness and possess a high degree of tact, discretion, and professionalism. Verbal and written communication skills will be used daily. Maintains effectiveness under pressure. Uses a multiple line telephone, personal computer, fax machine, photocopier, and other standard office equipment. Ability to lift up to 25 lbs. Available for overnight business travel. Flexible to work evenings and weekends as needed.

Salary Range: $65,000- 75,000
