Title: Executive Assistant, Senior
Details:
- Status: Full Time (Salary)
- Schedule: 0800hrs - 1630hrs; M-F
- Location: On-Site, Aberdeen, MD 21001
- Supervisory: No
Key Roles/Duties:
- Perform a variety of routine tasks and heavy MS Office administrative functions to facilitate the executive administrative functions, often involving work of a confidential nature
- Draft, prepare, review, proofread, and/or support MS Office products according to established company guidelines and best practices
- Coordinate, manage, and maintain several Shared Mailbox emails and calendars
- Coordinate and supply supporting materials and/or meeting minutes for all requested meetings
- Oversee and follow guidelines for records management to maintain audit compliance
- Work independently within established procedures and practices and lead daily tasks
- Greet all Front Door entrances and exits in a professional manner and follow established security protocols to include Foreign and Domestic Visitor sign-in procedures
- Answer all routine communication types tactfully and professionally, following up where needed, and handle within eight (8) business hours, or four (4) business hours if Urgent request
- Maintain basic order of the Reception Area and/or Guest Areas
- Plan, coordinate, and support travel expense reporting
- Perform other general administrative duties, as requested
- Five (5)+ years’ experience with administrative and operations support
- High level of demonstrated experience using Microsoft Office Suite
- High level of demonstrated experience using One Drive
- Possess excellent verbal and written communication skills
- Possess quality time management and organizational skills
- Ability to work independently and in a team
- High frequency of computer keyboarding and technology utilization
- High School diploma or General Education Development (GED)
- Ability to lift thirty (30) pounds (ie. printer paper box, re-arrange wheeled chairs in Conference Rooms, set up/break down special events)
- Microsoft Office Specialist (MOS) Expert or Master Certification
- Active Secret Clearance
- Ten (10)+ plus years of demonstrated clerical or administrative experience
- Secretarial or administrative work experience within the Department of Defense (DoD) or Telecommunications Industry
- Associate or Bachelor’s degree in Business Administration, or similar
- Minimal; local travel less than five (5)% of the year
