Position Purpose:
The Executive Assistant will support c-suite leaders and perform duties such as documenting processes, ordering materials, and working on special projects as needed.
Education & Experience
- Bachelor's degree or an Associate's degree with equivalent work experience is preferred.
- 4-7 years experience in an administrative or comparable role required.
- Experience in using the following software: Microsoft Office, customer relations management (CRM) application (Microsoft Dynamics or Salesforce), virtual meeting applications (zoom, Go-to-meeting and Microsoft Teams) and Concur preferred.
Responsibilities & Essential Functions:
- Coordinate schedules for the CEO and Chief Clinical Officer
- Manager executives' calendar, including scheduling and prioritizing appointments
- Scheduling meetings with other departments
- Attend cross-functional department meetings
- Create meeting agendas
- Communicate with key stakeholders to ensure current and accurate project information
- Complete expense reports for CEO and Chief Clinical Officer
- Answer phones as needed
- Perform other administrative tasks as requested by other offices of the company
- Coordinate all travel for the CEO and Chief Clinical Officer
- Complete monthly expense reports for CEO and Chief Clinical Officer
- Manage the AvaAdmin/Coordinator Group, prepare agendas and run meetings
- Schedule retreats
- Order weekly staff lunches for all offices
- AvaSure Board of Directors support
- Manager quarterly Board of Directors Meetings
- Manage monthly OKR / Ops review meetings
- Chief Nursing Executive Advisory Board support
- Leadership support when needed

- The position is hybrid, both in-office and remote.
