Position Overview:
As an Executive Assistant at [Your Company Name], you will be responsible for supporting our team of advisors and maintaining strong client relationships. This role requires meticulous attention to detail, excellent organizational skills, and the ability to multitask effectively. You will be instrumental in scheduling and managing appointments, maintaining our client relationship management system, processing client service requests, managing invoices, and planning and scheduling client and prospecting events. Additionally, you will need to be available for 4 to 6 evenings per month to assist with educational and marketing events.
Key Responsibilities:
- Appointment Scheduling: Efficiently manage and coordinate appointments for advisors and clients, ensuring schedules are optimized and conflicts are resolved.
- Client Relationship Management: Maintain and update our client relationship management system with accurate and current information.
- Client Service Requests: Process client service requests promptly and professionally, ensuring a high level of client satisfaction.
- Invoicing: Manage and oversee invoice processing, ensuring accuracy and timeliness.
- Event Planning: Plan and schedule client and prospecting events, including logistics, invitations, and follow-up.
- Evening Availability: Be available for 4 to 6 evenings per month to assist with educational and marketing events, providing crucial support to ensure their success.
Qualifications:
- Proven experience as an Executive Assistant or in a similar administrative role.
- Exceptional organizational and time management skills.
- Strong attention to detail and accuracy.
- Excellent communication and interpersonal skills.
- Proficiency in MS Office and client relationship management software.
