We are hiring an Executive Assistant to support the Assistant Executive Director of our Continuing Care Retirement Community. The Executive Assistant will provide administrative support, working independently to assist the Assistant Executive Director with communications, correspondence, resolving community/resident issues, time management/planning, travel arrangements, and resident/vendor requests.
How you will make an impact:
- Answer and screen all incoming calls, emails, and voice mail for the Executive Director
- Greets residents and other walk-in visitors. Manage traffic flow and access to Executive Director, and provide direct assistance to walk-in visitors when appropriate
- Address and resolve various community/resident issues as appropriate, with minimal direction from the Executive Director. Escalate or refer issues to the appropriate person as needed.
- Acts as a liaison between Executive Director and personnel, outside companies, and residents
- Manage the calendar of the Executive Director, scheduling meetings and conferences, and handle shifting priorities and conflicts as they arise
- Process departmental mail and ensure that appropriate follow-up and prioritization occurs on all other correspondence
- Maintain files and data storage
- Set up conferences and meeting rooms as needed
- Prepare and type the minutes of staff meetings and maintain intra- and inter-departmental communications.
- Gather, maintain, and send timesheets for all department personnel.
- Coordinate travel itineraries, including air and ground transportation and hotel accommodations
- Process expense reports

Compensation: Starting at $60,000 annually; based upon years of experience.
What you will need:
- Two+ years of administrative office support experience
- High School or GED required
- Intermediate to advanced skill level in Excel and PowerPoint required
- Experience with graphic media systems such as Adobe Illustrator, Adobe Photoshop, Canva, etc. highly preferred.
