We are looking for an Executive Administrative Assistant to provide high-level administrative support to the Regional Vice President (RVP) and other senior staff.

Responsibilities

  • Coordinate travel arrangements, prepare itineraries, plan logistics, and submit expense reports.

  • Maintain confidentiality of highly sensitive information

  • Manage complex office administrative work requiring the use of independent judgment and initiative including drafting letters, memos, invoices, reports, email responses, and other documents for senior staff

  • Managing information flow in a timely and accurate manner

  • Acting as the point of contact among executives, employees, clients, and other external partners

  • Schedules and attends meetings on behalf of executives, taking notes and recording minutes.

  • Receives incoming communication or memos on behalf of senior staff, reviews contents, determines importance, and summarizes and/or distributes contents to appropriate staff.

  • Performs office tasks including maintaining records, ordering supplies, and performing bookkeeping.

  • Manage executives’ calendars and set up meetings

  • Performs other related duties as assigned

Qualifications

  • High school diploma required, Bachelor’s degree in Business Administration or related field preferred.

  • At least four years of related experience required.

  • Excellent verbal and written communication skills.

  • Excellent organizational skills and eye for detail.

  • Excellent time management skills with a proven ability to meet deadlines.

  • Ability to function well in a high-paced and at times stressful environment.

  • Extensive knowledge of office administration, clerical procedures, and recordkeeping systems.

  • Extremely Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point), Adobe Acrobat, and social media web platforms

  • Building and construction understanding a plus.
