Job Purpose
The Administrative Assistant is responsible for providing support to the Executive Assistant team and some remote staff.
The Administrative Assistant will be responsible for performing a range of general tasks to support daily operations, projects and processes.
Duties and Responsibilities
- Provide administrative support to a remote based team including, but not limited to; preparation and filing of expense reports (online system), invoicing, scheduling of conference calls, assisting in the management of calendars, working on special projects, managing meeting agendas and preparing travel itineraries.
- Assist the EAs in preparation of monthly board updates and correspondence.
- Work closely with the Executive Assistant Team to keep them well informed of upcoming commitments and responsibilities, following up appropriately.
- Other duties as assigned.
Qualifications
- A Bachelor’s Degree or equivalent experience is required.
- Experience working in an administrative or office manager role.
- Expert proficiency with Microsoft Office.
- Strong verbal and written communication skills.
- Exceptional organizational skills and impeccable attention to detail.
- Make appropriate, informed decisions regarding priorities and available time.
- Ability to complete a high volume of tasks and projects with little or no guidance.
- Ability to react with appropriate levels of urgency to situations and events that require quick response or turnaround.
- Able to maintain a high level of integrity and discretion in handling confidential information.
- Ability to problem solve is highly desired.
- Experience working from home and supporting a remote team is desired.
This is a remote based position, but limited travel may be required.
