The Executive Administrative Assistant performs a wide range of professional support to the broker/owner, leadership team and specialists.
Executive Administrative Assistant will be responsible for coordinating and supporting sales office operations. Ideal candidates will have a strong service background, attention to detail, a high understanding of technology, amazing organization skills and loves being part of a team.
Responsibilities include, but are not limited to;
- Office Organization: Ensure meticulous organization of the office across physical, electronic, and communication realms in close coordination with the leadership team.
- Systems Management: Oversee and optimize various platforms and protocols for maximum administrative efficiency, including but not limited to CINC, Dotloop, HomeIQ, Focus1st, Onboarding, Website management, educational videos/scripts.
- Calendar and Email Management: Efficiently manage the calendar and email correspondence for the broker/owner.
- Specialist Support: Act as the primary point of contact for administrative and technological support for specialists. Provide guidance on protocols, systems usage, best practices, and serve as a resource to facilitate questions and solutions.
- Meeting and Event Facilitation: Organize and ensure the smooth facilitation of meetings and events to maximize effectiveness and productivity.
- SOP Manual Maintenance: Consistently update and maintain the Standard Operating Procedure (SOP) manual to reflect the latest processes and procedures.
- Leadership Team/Broker Support: Assist in special projects and additional tasks as needed by the leadership team or broker.
- Agent Onboarding: Support the onboarding process for new specialists to ensure a seamless transition into the organization.

Skills Desired:
- Comprehensive Computer Skills: Proficiency in MS Suite, Word, Excel, and QuickBooks for effective administrative tasks.
- Attention to Detail: Ability to meticulously handle tasks and ensure accuracy in all endeavors.
- Exceptional Communication Skills: Strong written and oral communication abilities for effective collaboration and correspondence.
- Tech Proficiency: Comfortable with various computer systems and platforms, displaying adeptness in troubleshooting and optimizing their use.
- Independence and Multitasking: Ability to work autonomously, manage multiple tasks concurrently, and prioritize effectively while being adaptable to changing business needs within a team environment.
