What You Will Do
The Executive Administrative Assistant is responsible for providing proactive, professional, and high-quality comprehensive administrative support to New Jersey based HR Executives. This role will have the ability to work in a high-paced, executive-oriented environment, as well as the ability to multitask, maintain confidentiality, and prioritize workload. Supporting a collaborative HR community of professionals located throughout the US & globally. Focus on productive & efficient management of day-to-day HR operations. This role is responsible for meeting management and appointments for all clients, coordinates and assists in developing associated reports, prepares presentations, organizes files, performs data entry, and analyzes data, and maintains accurate records including:
Key Responsibilities
- Pro-active calendar management including, but not limited to organization of regular HR Leadership Team engagements (incl. agenda set-up coordination with presenters/guests, Zoom, Microsoft Teams, engagement logistics) and regular 1:1s with critical stakeholders
- General support for data analysis, communication activities, engagement initiatives
- Proactively liaise with HR Leadership Team to determine the needs and align on meetings/events
- Set up mid-year, Year End conversations, G&O's meetings, and collect 360 Stakeholder Feedback where necessary
- Support and organization large meetings and liaise with business partners and other EAs to assist complex meetings
- Coordinate travel and logistic arrangements, expense management
What We Are Looking For
Required Qualifications:
- A minimum of a High School diploma
- A minimum of 4 years of advanced administrative experience
- Proven ability to work collaboratively as part of a team, possess exceptional communication skills (both written and verbal), and operate with a high sense of urgency while maintaining a high degree of professionalism
- The ability to multi-task, work with minimal supervision, and achieve results in a fast-paced environment
- Strong organizational skills and attention to detail
- Must maintain confidentiality
- Must possess extensive knowledge of and demonstrate proficiency with personal computers working with Microsoft Office programs (Words, Excel, Powerpoint, Teams, etc.
- Must possess extensive knowledge of and demonstrate proficiency with virtual meeting technologies (Teams, Zoom, WebEx, Global Connect)
- Strong proficiency in Ariba/eMarketplace or related system, Concur or closely related system, WorkDay or closely related system
- This position requires up to 10% domestic travel
Preferred Qualification:
- Experience supporting senior business executives
The anticipated base pay range for this position is $59,850 to $96,600 USD.
