You have at least 2 years of experience as a bookkeeper or other office admin position.

Nature of the Role:
Support the Leadership staff in the area of Accounts Receivable: AIA Pay Applications, Cash Flow, Mid Project Invoice Changes
Key Responsibilities of this Role:
- Ensure security, integrity, and confidentiality of data
- Processing payments and documents such as invoices
- Math skills to handle financial data
- Reconciling invoices and identifying discrepancies
- Maintaining and improving the organization’s bookkeeping process.
- Tracking expenses and evaluating budgets.
- Posting financial data to accounts.
- Handling communication between the organization and clients/ contractors.
- Performing basic office tasks like filing, data entry, and mail processing.
- Reconcile invoices and identify discrepancies
- Typing accurately, preparing, and maintaining accounting documents and records
- Ensure filing systems are maintained and current
- Establish and monitor procedures for record-keeping
- Analyze and monitor internal processes
- Monitor and maintain office supplies inventory
- Review and approve office supply acquisitions
- Handle customer inquiries and complaints
- Maintain a safe, secure, and pleasant work environment
- Ensure top performance of office staff by providing them adequate supplies and resources
- Plan in-house or off-site activities, like parties, celebrations, and conferences
- Process AIA Pay Applications (G702,G703)
- Work Closely with Project Managers to ensure proper billings
Skills & Requirements:
- Strong Typing Skills; WPM of at least 55+
- Ability to handle sensitive, confidential information
- Attention to Detail and Problem-Solving Skills
- Excellent written and verbal communication skills
- Ability to multitask and remain motivated and positive
- Good math skills and the ability to spot numerical errors
- Experience with an accounting system, preferably Sage
- Experience in the Commercial / Construction Field with AIA Pay Application Programs
