Job description

POSITION: Accounts Receivable Bookkeeper

DEPARTMENT: Auditor

WORK SCHEDULE: 8:00 a.m. - 4:30 p.m., M-F

SALARY: $1,881.00 Biweekly


Incumbent serves as Accounts Receivable Bookkeeper for the Tippecanoe County Auditor's office, responsible for receiving and processing receipts, maintaining/balancing various fund accounts, and responsible for duties related to annual Property Tax Sale.


DUTIES
:

Posts and processes monies collected, such as EFT or ACH mail and in person, from County departments, including verifying cash, check, and money order amounts, entering in financial software, and delivering receipts to Treasurer.

Invoices or requests reimbursement from agencies or vendors periodically, and works with vendors and County departments to make timely, accurate deposits in fund accounts. Monitors grant receipts for compliance.

Monitors all receivables with respect to annual revenue budget, prepares reports, and communicates windfalls and shortfalls. Assists with annual budget process, such as making initial recommendations of revenue estimates.

Maintains and makes daily entries on various spreadsheets, such as surplus tax, change of venue, BMV, LOHUT, and other agency Funds.

Assists and works closely with other departments in maintaining and balancing fund accounts as needed.

Maintains responsibility for all aspects of annual Property Tax Sale, including reviewing certified property listing, collecting W-9 information from successful bidders, working with third party vendor to update and advertise lists and prepare for sale.

Processes owner redemptions, notifying lienholder; processes deeds and certificates, maintains surplus accounts.

Completes various year-end procedures, including printing reports, and reconciling fund accounts. Assists with annual audit, such as providing information and reports as requested.

May testify in court on tax sale matters and/or Auditor's property records transactions.

Performs duties of other department personnel in their absence or as needed.

Performs related duties as assigned.


JOB REQUIREMENTS AND DIFFICULTY OF WORK
:

High school diploma or GED, associates degree in accounting or business preferred.

Working knowledge of standard office policies and procedures and ability to apply such knowledge to a variety of interrelated processes, tasks and operations.

Working knowledge of basic bookkeeping principles, and ability to perform simple arithmetic calculations, maintain and balance accurate records, and prepare related reports and forms as required.

Working knowledge of standard English grammar, spelling and punctuation, and ability to prepare detailed financial reports as required.

Working knowledge of court/legal proceeding and ability to interpret court orders.

Ability to type with speed and accuracy and properly operate a variety of standard office equipment, including computer, printer, telephone, copier and calculator.

Ability to effectively communicate orally and in writing with co-workers, other County departments, attorneys, and the public, including being sensitive to professional ethics, gender, cultural diversities and disabilities.

Ability to comply with all employer and department policies and work rules, including, but not limited to, attendance, safety, drug-free workplace, and personal conduct.

Ability to provide public access to or maintain confidentiality of department information and records according to State requirements.

Ability to understand, memorize, retain, and carry out written or oral instructions and present findings in oral or written form.

Ability to work on several tasks at the same time and complete assignments effectively amidst frequent distractions and interruptions.

Ability to work alone with minimum supervision and with others in a team environment, often under time pressure.

Ability to occasionally testify in court on tax sale matters and/or Auditor's property records transactions.

Ability to occasionally travel out of town for training and/or meetings, sometimes overnight.


RESPONSIBILITY
:

Incumbent performs standard, recurring duties according to well-established policies and procedures, with work priorities influenced by legal deadlines. Incumbent receives indirect or occasional supervision, with work periodically reviewed upon completion for technical accuracy and compliance with department policies and procedures and legal requirements. Errors in incumbent's work are usually prevented and detected through standard bookkeeping checks and/or notification from other departments. Undetected errors may result in loss of time for correction and/or inconvenience to other departments, agencies or vendors.


PERSONAL WORK RELATIONSHIPS:

Incumbent maintains frequent contact with co-workers, other County departments, attorneys, and the public for the purpose of exchanging information and explaining policies and procedures.

Incumbent reports directly to Auditor.


PHYSICAL EFFORT AND WORK ENVIRONMENT
:

Incumbent performs duties in a standard office environment, involving sitting and/or operating a computer for long periods, lifting/carrying objects weighing less than 25 pounds, close vision, speaking clearly, hearing sounds/communication, and handling/grasping/fingering objects. Incumbent occasionally travels out of town for training and/or meetings, sometimes overnight.
