Responsibilities
Board Administrative Coordinator provides complex and confidential administrative support to St. Luke's Health. Manages system‐wide amendments and organizes and maintains corporate documents; Coordinates Board of Director Meetings; and Assists in the coordination of other board meetings as needed. The Board Coordinator also acts as the Executive Assistant to the Regional CFO.
ESSENTIAL KEY JOB RESPONSIBILITIES
- Coordinates activities of the Board and Board subcommittee proceedings by drafting agendas, scheduling meetings, producing and mailing packets, translating committee minutes into minutes, and managing and integrating large amounts of sensitive information.
- Serves as official guardian of Board proceedings and documents decisions; and maintains knowledge of bylaws in order to provide input to appropriate committee proceedings.
- Organizes and maintains corporate documents St. Luke's Health and its affiliated entities, including, but not limited to, formation of documents, board of director minutes, governing board rosters, governing board resolutions, bylaws, and organization charts.
- Coordinates governing board meetings and assists with the coordination of affiliated governing boards.
- Prepares and maintains documentation relating to the organization.
- Assists St. Luke's members with various corporate matters, including amending corporate documents.
- Facilitates needs of board members in their completion of fiduciary responsibilities.
- Assists in maintaining and managing the CFO's schedule, ensuring effective use of time to successfully complete office duties in conjunction with board responsibilities.
- Provides administrative support to senior executives including scheduling meetings and assisting with the preparation of correspondence.
- May be asked to assist in various projects or other duties as needed to support the executive team.
Qualifications
Required Education and Experience:
- Bachelor's Degree or equivalent corporate experience
- Two (2) years of related experience and/or training
Minimum Knowledge, Skills and Abilities:
- Must have understanding of state non profit corporation filing requirements.
- Must have excellent understanding of corporate organizational and governance structure.
- Must be flexible to meet fluctuating workloads.
- Must be able to positively interact with a very large constituency of high visibility and importance to the decision making process.
- Must have exceptional proficiency in composing written communications, expert proofreading, and editing skills.
- Ability to create and revise Word, Excel, PowerPoint, and Visio documents.
