Educational and Experience Requirement:Bachelor’s degree in related field. Master’s degree preferred. Three years relevant administrative assistant experience or experience in a related field. Experience in Higher Education is desirable. A combination of education, experience, and training that would produce the required knowledge and abilities could be considered.
Nature & Purpose of Position:Performs advanced administrative support duties for the Department of Forensic Science and associated areas as needed.
Primary Responsibilities:Performs administrative support duties and assists the chair for the Department of Forensic Science. Oversees the work of Forensic Science staff. Plans and coordinates marketing, events, and off-site Forensic Science conferences. Coordinates accreditation-related activities, including data collection and document control. Coordinates internships, admissions, program inquiries, facilities tours and training. Liaises with various external agencies for internship placements and paper processing. Handles purchasing, P-Card purchases, travel, and Electronic Personnel Action Forms (ePAF’s). Responsible for scheduling courses, workload, faculty searches, contracts, orientations, and communication with the College of Criminal Justice (COCJ) Dean’s Office. Collaborates with faculty committees for collection and reporting of information for the Department Promotion and Tenure Advisory Committee (DPTAC), Faculty Evaluation System (FES), and Individual Development & Educational Assessment (IDEA). Ensures timely collection and processing of syllabi, vitae, textbook orders, and Federal Aid Eligibility Validation (FAEV). Maintains faculty teaching calendars and manages key lockbox for students. Coordinates, compiles, and evaluates data received from a variety of sources relating to the safety and effectiveness of Forensic Science programming. Maintains and oversees social media, website, program flyers, and written marketing materials and content. Responds to information requests. Collects, reconciles, and maintains complex data. Coordinates and implements departmental processes, monitors budgets, accounts, expenditures, and project timelines, identifying and addressing issues. Prepares financial and statistical reports, interprets policies and procedures, and distributes documents and correspondence. Conducts research for preparation and dissemination of information. Serves as liaison and maintains contacts with other University departments, students (current and prospective), faculty, staff, alumni, government officials, and distinguished guests. Recommends to the supervisor internal policies and procedures, clerical functions, and workflow to ensure effective and efficient operation. Directs assignments of clerical staff and determines work priorities and evaluates progress and deadlines. Performs other related duties as assigned.
Other Specifications:Experience with marketing, event planning and social media platforms is highly desirable. Requires detailed knowledge of university infrastructure, policies, and procedures. Requires thorough knowledge of office systems, and demonstrated excellence in writing, editing, and proofreading. Proficiency in Microsoft Office applications, specifically Word, Excel, PowerPoint, Outlook, Microsoft’s cloud-based service, and Teams. Experience with marketing, event planning and social media platforms is highly desirable. Demonstrated ability to work with frequent interruptions and changing priorities is required. The ability to solve operational problems and make suggestions for process improvement is desirable.
