JOB DESCRIPTION
JOB TITLE: Administrative Coordinator
REPORTS TO: Admin/Accounting/HR Specialist
STATUS: Part-time FLSA: Hourly/Non-Exempt
JOB PURPOSE: The Office Administrator coordinates various office tasks and functions to ensure office operations run smoothly at all times.
EDUCATION AND EXPERIENCE QUALIFICATIONS:
- High school diploma or equivalent required
- Associate’s degree in Administrative Support or a related field preferred
- 2 years’ experience working in an office administration or clerical role preferred
- Experience using office machinery (printer, copier, phone systems etc.) preferred
- Driver’s License required
An equivalent combination of education and experience may be considered if applicable and must be directly related to the functions and body of knowledge required to successfully perform the job.

ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Answers phones and routes calls to appropriate people.
- Manages the info email (info@nclonline.org) and responds to inquiries.
- Provides customer service to chapter leaders, chapter members and potential members.
- Manages, sorts, and dispenses incoming mail, and prepares outgoing mail and packages.
- Logs, scans and deposits customer checks received in the mail.
- Maintains master company calendar – events, appointments, meetings, and video calls.
- Supports clerical accounting needs – expense reports, AR follow-up, reconciliations, etc.
- Provide specialized project support for the membership, communications, and programs department.
- Oversee and maintain record retention of NCL board meeting minutes.
- Coordinates staff celebrations - holiday gatherings, birthdays, anniversaries, etc.
- Assists with event coordination as needed – board meetings, summit, conferences, virtual events, reservations, etc.
- Assists with Human Resources tasks as needed.
- Provides support to national board, team leads, and national volunteers.
- Obtains authorization and orders supplies when needed.
- Performs various clerical tasks as needed (send memos, data entry, scanning, etc.).
- Notifies and reminds all parties of upcoming events, meetings etc.
- Reports any updates or pertinent issues that need addressing.
- Upholds and carries out company policies and procedures.
- Manages the front desk (as needed).
- Researches and manages office equipment purchase and leases as needed.
