Educational and Experience Requirement:Bachelor’s Degree in related field. Four years relevant administrative assistant experience or experience in a related field. Experience in Higher Education is desirable. A combination of education, experience, and training that would produce the required knowledge and abilities could be considered.
Must be a current Sam Houston State University employee in order to be considered for this position.
Performs advanced and complex administrative support duties for the Office of the Provost and Senior Vice President for Academic Affairs.
Primary Responsibilities:Oversees staff and graduate assistant hiring for Academic Affairs division. Assists in the development of operational policies. Interprets policies and explains procedures relating to activities performed in the Office of the Provost and Senior Vice President for Academic Affairs. Prepares reports and maintains adequate records. Handles routine and special correspondence. Performs specialized tasks requiring a high level of skill in the preparation of reports. Assists in compiling statistical data and preparing various written summaries concerning divisional activities. Acts as liaison between administrator and staff in handling of matters which may involve policy decisions. Processes faculty paperwork for hiring, reappointments, and other payroll paperwork. Processes faculty workload for colleges. Tracks signed and unsigned faculty contracts. Oversees staff posting actions for the division. Reviews internal procedures and recommends needed changes. Responsible for large college workload reporting, employment processing, and assists with workload training. Serves as backup to the Assistant Director of Faculty Records and Reporting. Performs other related duties as assigned.
Other Specifications:Requires detailed knowledge of university infrastructure, policies, and procedures. Requires thorough knowledge of office systems. Must have the ability to solve operational problems and make suggestions for process improvement.
Up to 20% of this position, over the fiscal year during off-peak periods, may be performed remotely as determined by the supervisor.
