JOB SUMMARY:
The Associate Administrative Assistant provides support to the facility/front office by conducting basic research, preparing reports, handling requests for information, receiving visitors, preparing travel schedules, arranging calls, and scheduling meetings. Performs routine assignments as requested. Works under close supervision.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
These duties are not meant to be all-inclusive and other duties may be assigned.
Assist day-to-day business operations of the office as directed by Site Manager.
Verify timekeeping records and report anydiscrepancies.
Track spreadsheets and time keeping system to provide necessary payroll information to Corporate.
Record employee complaints, questions and concerns about payroll services and communicate those issues to Site HR.
Assist in payroll and benefit administration and submit timely reports to Corporate when requested.
Assist the Site Manager in preparation of work orders, manage inventory and coordinate vendor payments.
Track and update records and manage monthly invoices.
Comply with company safety program and training.
Perform other business-relatedduties as assigned or needed.
MINIMUM QUALIFICATIONS:
High School diploma or GED equivalent. Associate Degree in Business preferred.
Valid Driver's License.
2+ years of payroll experiencewith a background in: Administrative and Clerical Duties, Payroll and Human Resource, and bookkeeping duties.
Excellent understanding of Microsoft Office and Microsoft Excel (workbook entry, creation, formulas).
Detail-oriented and organized.
Strong communication and customer service skills.
Ability to be badged to work in secure areas of an airport.
Monday - Friday dayshift work schedule with occasional weekends.
PREFERRED QUALIFICATIONS:
Excellent interpersonal communication (verbal and written) and collaboration skills.
Ability to interface with personnel and general public.
Proficient Excel and Microsoft Office Skills
WORKING CONDITIONS:
- Physical Demands: Frequent - Sitting, Talking, Hearing, Visual, Typing and Manual Dexterity. Occasional - Standing, Bending/Kneeling, Walking/Running, Reaching, Lifting/Carrying and Pushing/Pulling up to <10lbs.
