Posting Summary
The Administrative Coordinator works independently to manage the day-to-day operations for the Office of the Dean in the Rutgers School of Business–Camden (RSBC). The Administrative Coordinator serves as the first level contact with the university community and interacts extensively with both internal and external stakeholders. Duties include organizing, executing, and coordinating office procedures and routines, as well as performing diversified and confidential record keeping and communication that require judgment in the resolution of routine administrative processing to support the RSBC.
The Administrative Coordinator will serve as the primary point of contact for major school-wide events and programs. More specifically, the Administrative Coordinator will coordinate the Dean’s Leadership Council; assist with faculty recruiting arrangements; facilitate major events for the school, such as the Eminent Business Leader, Eminent Scholar, Honors Ceremony, Graduation, Faculty Assemblies; and organize the Guest Professor and Executive-in-Residence Programs.
Duties also include the confidential, administrative, and general staff assistance in such matters as event logistics, travel arrangements, scheduling, research, basic web updates, report writing, the maintenance of student records, and management of office and program functions. As this position will be the “front line” to stakeholders visiting the school, the position requires excellent customer service skills and ability to prioritize tasks effectively. Other duties as assigned by the Dean and the senior leadership team.

Consistent with the current application of Rutgers Policy 60.3.22, this position may be eligible for a hybrid work arrangement. The flexible work arrangements outlined in Rutgers Policy 60.3.22 are part of a pilot program that is effective September 1, 2022 through August 31, 2024. Therefore, there is no guarantee that this flexible work arrangement will continue beyond that date. Flexible work arrangements are not permanent, are subject to change or cancellation and contingent on the employee receiving approval in the FlexWork@RU Application System. A bachelor’s degree or an equivalent combination of education and similar office experience, plus 2 years of relevant experience.

A bachelor’s degree or an equivalent combination of education and similar office experience, plus 2 years of relevant experience; knowledge of office administration, organization, and planning; excellent computer skills, database management and manipulation, exceptional telephone and interpersonal skills reflecting the ability to interact with a broad spectrum of populations such as students, faculty and administrators, a proven history of attendance and the ability to multi-task. Ability to initiate ideas and execute projects independently. An exceptional commitment to providing high quality customer service to students, staff, faculty, and visitors.

Preferred Qualifications
Bachelor’s degree and/or prior experience in higher education and event logistics.

Equipment Utilized
Microsoft Office/Teams, web and design software (i.e. WordPress/Canva), use of various video conferencing tools (Zoom, WebEx, Teams, etc.), Email applications (i.e. Mailchimp), scanner and photocopying equipment, Rutgers E-learning system (Canvas).

Physical Demands and Work Environment
Availability to work occasional evenings and weekends.
