Posting Summary
Rutgers, The State University of New Jersey, is seeking an Administrative Coordinator Confidential for the Office Secretary of the University. Reporting to the Secretary of the University and Associate Secretary of the University, the Administrative Coordinator Confidential provides confidential, executive-level administrative support to the Secretary and Associate Secretary and performs day-to-day office operations and procedures for the Office of the Secretary.
Among the key duties of this position are the following:
  • Coordinate and manage all appointments, meeting calendars, travel arrangements and expenses for the Secretary and Associate Secretary, and will assist with scheduling board and committee meetings.
  • Serve as the primary contact for the Office of the Secretary, exhibiting tact and discretion while interacting with members of the governing boards, senior University administrators, and all internal and external constituents.
  • Draft correspondence, power point presentations, excel spreadsheets, and documents, and will be responsible for tracking office tasks and documents.
  • Post materials to the governing boards portal at the direction of the Secretary, Associate Secretary, Assistant Secretary, and Senior Department Administrator.
  • Work effectively with minimal direct supervision and perform other duties as assigned, including roles assigned for Rutgers University–New Brunswick and Rutgers Health Commencement.

Qualifications
Minimum Education and Experience
  • Bachelor’s degree or an equivalent combination of education and/or experience that demonstrates working knowledge and understanding of office administration, work organization, coordination, facilitation, bookkeeping, and/or report writing principles and practices.
  • A minimum of two years of related experience working for a senior level administrator with demonstrated executive level organizational and decision-making skills.

Certifications/Licenses

Required Knowledge, Skills, and Abilities
  • Excellent oral and written communications skills, attention to detail, attention to the subject matter involved, and complete accuracy in all tasks required.
  • Must have working knowledge of Microsoft Word, Excel, and Adobe.
  • Excellent attendance, work habits, tact, discretion, ability to effectively multitask, and ability to maintain confidentiality.

Preferred Qualifications
  • Comprehensive knowledge of Rutgers University policies, procedures, and organizational structure desired.
  • Knowledge and experience creating and maintaining Excel and Power Point documents for high-level meetings and presentations desired.
  • Experience working with Qualtrics is desired.
  • Experience with Rutgers financial and human resources systems desired.

Under Policy 60.1.35 Immunization Policy for Rutgers Employees and Prospective Employees, Rutgers University requires all prospective employees to provide proof that they are vaccinated against COVID-19 prior to commencement of employment, unless the University has granted the individual a medical or religious exemption. Rutgers University may require certain prospective employees to receive an updated (bivalent) vaccine dose. Under Policy 100.3.1 Immunization Policy for Covered Individuals, if employment will commence during Flu Season, Rutgers University may require certain prospective employees to provide proof that they are vaccinated against Seasonal Influenza for the current Flu Season, unless the University has granted the individual a medical or religious exemption. Additional infection control and safety policies may apply. Prospective employees should speak with their hiring manager to determine which policies apply to the role or position for which they are applying. Failure to provide proof of vaccination for any required vaccines or obtain a medical or religious exemption from the University will result in rescission of a candidate’s offer of employment or disciplinary action up to and including termination.
