The Administrative Coordinator serves as the primary point of contact and liaison for all program related matters in the Department of Neurology at the Mount Sinai Health System. The coordinator supports the Program Director within Neurology. The coordinator collaborates with and provides support to the Program Director on all projects, initiatives and other programmatic needs.


Responsibilities

  • Serves as primary liaison and point of contact for all program related matters.
  • Collaborates with Program Director to manage all administrative functions essential to the program.
  • Serves as primary internal liaison to key stakeholders to help ensure appropriate utilization of the program and compliance with all program requirements.
  • Acts as the liaison with affiliated departments across the institution as necessary.
  • Actively engages with specialty pharmacy, Divisional faculty and senior leadership on processes and procedures related to program.
    Care Coordination
  • Coordinates patients for their baseline and follow up appointments when referred for cognitive testing by provider via Epic and Cerner.
  • Contacts patient in advance of appointment to confirm.
  • Provides patients with any necessary forms they need to complete and bring with them to their appointments.
  • Coordinates sending and receiving surveys for the patients.
  • Obtains all insurance prior-authorizations for the program as necessary and communicates with the clinician and patient regarding any issues.
    Reporting and Tracking
  • Develops, monitors, tracks and presents reports on program participation that clearly document utilization, problem areas, exceptions, and/or discrepancies which can be shared with various stakeholders.
    • Maintain an updated and accurate spreadsheet of all patients referred to the clinic to track patients through the steps from referral to service completion.
  • Communicates key metrics and improvement actions to program director and administration.
  • Ensures appropriate documentation and audit trail across areas of responsibility.
    Policy and Procedure Development
  • Assists administrative team as well as clinical team with developing policies, procedures and processes for the program.
  • Contributes ideas, processes, materials, etc to grow the program and support the goals of the department and institution.
  • Establishes consistent policies and procedures for the program to ensure goals and vision of the program are met.
  • Develops and modifies institutional program policies in accordance with state, federal, and system program requirements
    Education
  • Provides ongoing training, education, and communication to faculty and staff for the program as necessary.
  • Develops and implements training materials, programmatic resources, tools for all staff and leaders who work with the program appropriately.
  • Continuously manages education, training, awareness for program.
  • Regularly communicates with all stakeholders to ensure that processes and procedures remain efficient address or escalates any issues or suggestions for improvement to program director or administration.
    Program Enhancement/Optimization
  • Provides oversight for the implementation of process improvement initiatives and creates an environment that places an emphasis on continuous monitoring and improvement.
  • Analyzes utilization of the program and existing resources to identify ways to compliantly use the program to its fullest extent to meet the needs of underserved patient as well as meet the program vision and goals.
  • Collaboration with the program director to develop action plans to close identified gaps.
  • Participates in and implements all projects, special initiatives, programs related to and helps ensure all initiatives are completed in a timely manner.
  • Monitors all outpatient points of service to continually check for new areas that may qualify for the program.

Qualifications
  • Bachelors Degree or combination of applicable experience and education
  • 7+ years related administrative or business experience required. Some supervisory experience strongly preferred.

Compensation

The Mount Sinai Health System (MSHS) provides a salary range to comply with the New York City Law on Salary Transparency in Job Advertisements. The salary range for the role is $65885 - $98827 Annually. Actual salaries depend on a variety of factors, including experience, education, and hospital need. The salary range or contractual rate listed does not include bonuses/incentive, differential pay or other forms of compensation or benefits.
