Job Overview
We are seeking a highly detail-oriented individual to join the USP team as an Administrative Coordinator. This position plays a crucial role in supporting the mental health practice by managing and facilitating prescription refill requests, prior authorizations, and medical records, and assisting the administrative team.

The ideal candidate should have a minimum of 1-year administrative experience in a healthcare setting, preferably in behavioral health services.
Key Responsibilities:
Managing Prescription Refills:
- Efficiently process and manage prescription refill requests, ensuring timely communication with healthcare providers and pharmacies.
- Ensure prescription information is accurate and complete.
- Work closely with the patients to secure the required information for prior authorizations for prescriptions.
- Ensure compliance with relevant healthcare regulations and privacy laws in all documentation processes.
Interacting with patients:
- Ensure effective and timely communication with patients regarding prescription refill requests, delivering information clearly and concisely.
- Handle patient inquiries and concerns regarding prescription refills with professionalism and empathy.
- Educate patients on the prescription refill process and assist in coordinating appointments as needed.
Quality Assurance and Appointment Scheduling/Reminders:
- Schedule refill-related appointments for patients as required by healthcare providers.
- Implement a reminder system to ensure patients are informed about upcoming refill appointments.
- Regularly review prescription refill processes to identify areas for improvement and implement industry best practices.
- Keep track of and provide updates on important metrics regarding the efficiency and accuracy of prescription refills.
Qualifications:
- A bachelor’s degree in psychology or a related field is preferred.
- Minimum 1 year of experience in mental health or an office setting, preferably in behavioral health services.
- Strong organizational skills with exceptional attention to detail.
- Excellent communication and interpersonal skills, particularly in dealing with patients and healthcare professionals.
- Knowledge of relevant healthcare regulations and privacy laws (HIPAA).
- Experience with using healthcare management software and electronic medical records (EMR) systems.
