Job Title: Administrative Coordinator
BALANCE eating disorder treatment center, a premium treatment center in Manhattan, is seeking a highly motivated, passionate Administrative Coordinator to join our expanding team!

The Position
The ADMINISTRATIVE COORDINATOR provides direct Human Resource and Billing support to the VP of Operations & HR, HR Manager, Office Manager, Admission and Clinical department, and CEO. Oversees internal EMR systems, prepares and sends invoices, and maintains constant communication with various departments on behalf of the Operations Team.
Responsibilities:
Office Management
- Provide coverage in office from 8:00am – 4:30pm, during known absences for the Office Manager
- Cover in office client breaks
- Provide basic and accurate information in-person via phone/email to clients
- Maintain the privacy of agency of clients, always assure client confidentiality, and follow HIPPA policies.
- Assist with marketing materials and special events
- Support Recovery Coach Team
Human Resources
- Maintain digital employee records, including contracts, onboarding and offboarding paperwork
- Schedule in-house and external meetings for candidates and staff
- Prepare spreadsheets and create presentations as requested.
- Onboard / Offboard staff and conduct new staff orientations.
- Create job descriptions and maintain job descriptions
- Update Organizational Charts and materials
- Respond to staff emails regarding HR requests.
- Update PTO for staff who are out of office.
Billing
- Assist in creating financial agreements, processing payments and updating QuickBooks, the payment sheets and Zencharts when the VP of Operations and Human Resources is away.
Who You Are:
- Proven work experience as an Administrative Coordinator, Administrator, or similar role
- Must love Math, be a numbers cruncher, can do basic math with ease
- Experience working and maintaining client EMR system
- Hands-on experience with MS Office Suite (particularly MS Word and MS Excel)
- Familiarity with office equipment, like printers and fax machines
- Solid time-management abilities with the ability to prioritize tasks
- Excellent verbal and written communication skills
