Job Overview: As an Administrative Office Assistant at Garner Exteriors, you will play a crucial role in ensuring the smooth and efficient functioning of our administrative operations. You will be responsible for performing a variety of clerical and administrative tasks to support our team and contribute to the overall success of the company.
Key Responsibilities:
- Provide administrative support to the office staff and management team, including answering phones, managing emails, and handling correspondence.
- Greet visitors and clients in a professional and friendly manner, directing them to the appropriate personnel as needed.
- Maintain and organize office files, documents, and records, ensuring accuracy and confidentiality at all times.
- Assist with scheduling appointments, meetings, and conferences, coordinating logistics and making necessary arrangements.
- Prepare and edit documents, presentations, and reports.
- Manage office supplies inventory, placing orders as needed and ensuring adequate stock levels are maintained.
- Assist with billing and invoicing processes, including data entry.
- Coordinate with external vendors, suppliers, and contractors to fulfill office needs and requirements.
- Perform general clerical duties, such as photocopying, scanning, faxing, and filing documents.
- Support special projects and initiatives as assigned by management, demonstrating flexibility and adaptability in handling various tasks.
Qualifications:
- High school diploma or equivalent; associate's or bachelor's degree preferred.
- Proven experience in an administrative role, preferably in a fast-paced office environment.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.
- Strong organizational skills with the ability to multitask and prioritize tasks effectively.
- Excellent communication skills, both written and verbal, with a professional demeanor.
- Attention to detail and accuracy in completing tasks and handling information.
- Ability to work independently with minimal supervision and as part of a team.
- Flexibility to adapt to changing priorities and deadlines in a dynamic work environment.
- Knowledge of basic accounting principles and experience with billing/invoicing processes is a plus.
- Previous experience in the landscaping industry or related field is desirable but not required.
