As a fast-paced and dynamic company, we are seeking a dedicated Administrative Office Assistant to join our team and support our daily operations.

Job Overview: As an Administrative Office Assistant at Garner Exteriors, you will play a crucial role in ensuring the smooth and efficient functioning of our administrative operations. You will be responsible for performing a variety of clerical and administrative tasks to support our team and contribute to the overall success of the company.

Key Responsibilities:

  1. Provide administrative support to the office staff and management team, including answering phones, managing emails, and handling correspondence.
  2. Greet visitors and clients in a professional and friendly manner, directing them to the appropriate personnel as needed.
  3. Maintain and organize office files, documents, and records, ensuring accuracy and confidentiality at all times.
  4. Assist with scheduling appointments, meetings, and conferences, coordinating logistics and making necessary arrangements.
  5. Prepare and edit documents, presentations, and reports.
  6. Manage office supplies inventory, placing orders as needed and ensuring adequate stock levels are maintained.
  7. Assist with billing and invoicing processes, including data entry.
  8. Coordinate with external vendors, suppliers, and contractors to fulfill office needs and requirements.
  9. Perform general clerical duties, such as photocopying, scanning, faxing, and filing documents.
  10. Support special projects and initiatives as assigned by management, demonstrating flexibility and adaptability in handling various tasks.

Qualifications:

  • High school diploma or equivalent; associate's or bachelor's degree preferred.
  • Proven experience in an administrative role, preferably in a fast-paced office environment.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.
  • Strong organizational skills with the ability to multitask and prioritize tasks effectively.
  • Excellent communication skills, both written and verbal, with a professional demeanor.
  • Attention to detail and accuracy in completing tasks and handling information.
  • Ability to work independently with minimal supervision and as part of a team.
  • Flexibility to adapt to changing priorities and deadlines in a dynamic work environment.
  • Knowledge of basic accounting principles and experience with billing/invoicing processes is a plus.
  • Previous experience in the landscaping industry or related field is desirable but not required.
