Summary
We are seeking a competent and organized Part-Time Administrative Assistant to provide comprehensive support in travel coordination, expense management, and meeting planning. The ideal candidate will exhibit strong organizational skills, attention to detail, and proficiency in administrative tasks. This role requires effective communication skills and the ability to prioritize tasks efficiently.
Primary Responsibilities
Travel Coordination:
- Arrange global and domestic travel accommodations including flights, transportation, and lodging for executives.
- Research and book cost-effective travel options while considering individual preferences and company policies.
- Maintain updated travel itineraries and ensure all necessary arrangements are in place prior to departure.
- Act as liaison to leaders for coordinated group travel.
Expense Management:
- Assist in the processing and tracking of expense reports for employees.
- Review expense submissions for accuracy and adherence to company policies.
- Follow up on outstanding reimbursements and maintain organized records of expenses.
Meeting Planning:
- Coordinate scheduling and logistics for internal and external meetings, including room bookings and equipment setup.
- Prepare meeting agendas and distribute relevant materials to participants in advance.
- Take meeting minutes and ensure timely distribution to attendees.
Administrative Support:
- Provide general administrative assistance such as answering phones, managing correspondence, and filing documents.
- Assist with other ad-hoc tasks and projects as assigned by supervisors.
- Maintain confidentiality of sensitive information and exercise discretion in handling corporate matters.
Qualifications
- Proven experience in an administrative role, preferably with exposure to travel coordination and expense management.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with travel booking platforms.
- Excellent organizational and time management skills, with the ability to prioritize tasks effectively.
- Strong attention to detail and accuracy in data entry and record-keeping.
- Exceptional communication skills, both written and verbal.
- Ability to work independently with minimal supervision and as part of a team.
- Flexibility to adapt to changing priorities and deadlines.
- Discretion in handling confidential information and maintaining professionalism at all times
