Caliber is seeking an Administrative Assistant - Wealth Development to join our team locally in Scottsdale, AZ. This is not a remote position.
The Administrative Assistant - Wealth Development is responsible for providing a high level of administrative support and personal assistance to the EVP of Wealth Development / SVP of Corporate Development. This person will coordinate, manage, and keep the executive and senior team members on track with scheduling, projects, and commitments. This individual works well with limited information, is a self-starter, and can take ownership of projects by utilizing their strong time management skills. This individual consistently exhibits a high level of confidentiality and the ability to work with all areas and personalities within our organization.
Primary Responsibilities:
- Provides the full range of administrative support to the EVP of Wealth Development / SVP of Corporate Development.
- Maintains appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel; arrange and co-ordinate meetings and events.
- Assists in overseeing project timelines/deadlines, keeping all parties on track & reporting respective statuses.
- Conserve leadership members time by reading, researching, preparing, editing, and sending correspondence; drafting e-mails, letters, documents, communications, and presentations; collecting and analyzing information; monitoring, screening, responding to and distributing incoming communications (phone calls, emails, business-related correspondence and documents).
- Receive and interact with incoming visitors, internal & external clients.
- Run business related and personal errands (must have valid driver's license, insurance, and reliable transportation).
- Record, transcribe and distribute minutes of meetings.
- Prepares reports by collecting and analyzing information.
- Contribute to team effort by accomplishing related results as needed.
- Review & summarize documents for leadership member to review.
- All other duties as assigned
Qualifications (required unless otherwise stated):
- Associate or bachelor degree preferred.
- 3+ years of experience providing administrative level support to senior and executive leadership.
- Basic understanding of Investments and Finance industry is a plus.
- Valid Driver's License + proof of insurance required upon hire.
- Reliable transportation.
Knowledge/Skills/Abilities:
- Ability to maintain calm in a fast-paced environment under deadline pressure, and able to adapt to processes and deal with ambiguity.
- Excellent planning, organization and time management skills including the ability to support and prioritize multiple projects.
- Clear, effective oral and written communication skills are required.
- Technically savvy with the ability to manage multiple web and desktop software programs, databases, and inboxes.
- Analytical thinker with excellent problem-solving skills and the ability to adapt to changing priorities and deadlines.
- Ability to listen, think openly and creatively while providing valued feedback and input.
- Customer-focused attitude, with high level of professionalism (including attire & appearance).
- Ability to handle confidential information with the highest discretion.
- Proficient in Microsoft Office (Outlook, Word, Excel & SharePoint).
- Ability to speak multiple languages a plus but not required
Physical Demands:
This job operates in a professional office environment with occasional travel. This role routinely uses standard office equipment such as computers, phones, photocopiers and filing cabinets. The employee frequently communicates with internal team members, investors, and vendors. This role must be able to remain in a stationary position 50% of the time. This role constantly operates a computer and other office productivity machinery such as a copy machine and printer and occasionally moves items up to 50 lbs. for various projects.
