Who You Are
You love details, multi-tasking and people (of course!). You enjoy providing top notch client service and care both in person and over the phone. As teammate you are detail oriented and enjoy following processes to support the teams around you. The ideal person for this role will be someone who wears multiple hats with ease and ensures the smooth running of many behind the scenes operations while ensuring any clients and potential new clients are welcomed and cared for like family.
So What Will You Be Doing?
Day to day you will be assisting with the maintenance of the main reception area and conferences rooms, including assisting with scheduling. You will ensure breakrooms and client facing areas are well stocked and clean, completing inventory and order placement for supplies. When the mail and packages arrive every day you will process all mail ensuring mail is added to the correct case files and shared with the right legal staff. Every month you will send out birthday cards to all potential, current and previous clients.
Things You’ve Done in the Past
You’ll have worked as an admin assistant in fast paced setting. Client service will have been present in many if not all previously held roles and you’ve enjoyed interacting with both clients and team members to ensure exceptional experiences.
You will have obtained experience in the below tasks, which are a great addition to the above experience but not necessary:
- Electronic fax maintenance
- Case Management System experience, including uploading documents and notating.
- Working detailed processes with high quality results
- Ability to do repetitive tasks without little to no error
- Communication both written and verbal
- Manage multiple calendars successfully
- Manage incoming and outgoing mail

This position is expected to be an ambassador of communication for our office and must be extremely detailed-oriented, organized, and able to multi-task. We expect that our guests will be greeted with a warm smile and feel comfortable when entering our office. This person must be comfortable telling our guests to help themselves to any SNACKS or ICE CREAM!
