Job Summary
SeyferthPR is seeking a highly skilled and motivated Administrative Assistant to join our team. The ideal candidate will possess exceptional writing skills, be proficient in handling confidential information, demonstrate a high level of professionalism, and have the ability to effectively manage and distribute information. This position reports directly to the President and plays a crucial role in ensuring the smooth operation of the office. The Administrative Assistant will be responsible for managing the President's calendar, maintaining confidentiality, and providing exceptional administrative support. This individual will also work closely with the firm’s Business Manager on all day-to-day flow of work, and support setting up meetings.
Responsibilities
1. Utilize excellent writing skills to compose, proofread, and edit a variety of documents, including emails, memos, reports, and other correspondence.
2. Handle confidential information with the utmost discretion and maintain a high level of confidentiality and professionalism at all times.
3. Maintain the President's calendar, scheduling appointments, meetings, and events efficiently and effectively.
4. Act as a liaison between the President and other team members and external contacts.
5. Assist with organizing and coordinating meetings, including preparing agendas, taking minutes, and distributing relevant materials.
6. Interact with visitors, clients, and colleagues in a professional and personable manner, ensuring a positive and welcoming experience.
Requirements:
1. Proven experience as an Administrative Assistant or in a similar role.
2. Exceptional writing and communication skills, with the ability to draft professional and polished documents.
3. Demonstrated ability to handle confidential information with discretion and maintain a high level of professionalism.
4. Proficient in Microsoft Office (MS Word, Excel and MS PowerPoint, in particular)
5. Strong organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
6. Excellent attention to detail and accuracy in work.
7. Ability to work effectively both independently and as part of a team.
8. Strong interpersonal skills and the ability to build relationships with diverse individuals.
9. Degree and/or experience in public relations, marketing or public administration preferred.
