The Administrative Assistant will serve as the primary point of contact for the facility and will provide high-level administrative support by conducting research, preparing statistical reports, handling information requests, and performing clerical functions. This will include preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings.
PRIMARY DUTIES & RESPONSIBILITIES:
- Control and maintain general front office operations.
- Greet visitors, route to appropriate personnel, and maintain security procedures by issuing badges and monitoring logbook.
- Answering, screening, and forwarding incoming phone calls to appropriate personnel.
- Prepare invoices, reports, memos, letters, financial statements, and other documents, using word processing, spreadsheet, database, or presentation software.
- Read and analyze incoming memos, submissions, and reports to determine their significance and plan their distribution.
- Receiving and sorting daily mail/deliveries, prepare/manage Fed Ex / UPS shipments.
- File and retrieve corporate documents, records, and reports.
- Coordinate meetings and organize catering.
- Provide general administrative and clerical support to the Finance Department.
- Other duties as assigned.
EDUCATION & EXPERIENCE QUALIFICATIONS:
Qualifications/Education listed below represent the knowledge, skill, competencies and/or ability required for this job.
Competencies may include verbal and written communication, problem solving and decision making, customer service, safety awareness, sales ability, numeric reasoning, managing conflict, etc.
- High school diploma or equivalent.
- Proven working experience in similar roles.
- Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, and transcription, designing forms, and other office procedures and terminology.
- Knowledge of principles and processes for providing customer services. This includes customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction.
- Ability to work with a diverse group of employees and departments.
- Strong verbal and written communication skills
