The Estate Services Department at EPWA is a friendly, fast-paced environment. The Department provides EPWA clients with education and support around their estate planning and facilitates our Trust Service Offering. The position works closely with our Director of Estate Services on all Department-related matters. We are looking for a new team member who aims to provide exceptional service to clients and other team members. If you are proactive, have great follow-through, and are meticulous with details you would be a great fit. Someone with a resourceful can-do attitude, who is a great communicator, and willing to take initiative will thrive in this role. The role requires a high degree of autonomy, so the ability to manage and complete projects in a timely manner is key. The position also has advancement potential if want to dive deeper into the world of estate planning or trust services.

 

Duties and Responsibilities:

  • Provides administrative and operational support to the Director of Estate Services.
  • Coordinates communications between members of the Estate Services Department, advisors, and Wealth Management team members.
  • Primary responsibility over new client onboardings for our Trust Services Offering involving effective coordination with clients, advisors, and our back-office.
  • Facilitates estate team assignments and workflow with the Director of Estate Services in our client relationship management system.
  • Oversees the Trust Services and Estate Services task management queues.
  • Captures data between our client relationship management software and our task management software and performs related database management.
  • Organizes and schedules meetings between team members, departments, advisors, and vendors.
  • Manages communications and onboarding for our estate attorney partnerships.
  • Acts as a liaison between accounts payable and Estate attorney partners for invoicing.
  • Assists the Director of Estates with special projects for the Department that involve administrative tasks and project management.
  • Communicates with external service providers and vendors.
  • Adheres to all company policies and procedures, and performs daily functions with focus on consistency, quality, and compliance.
Qualifications

 

  • Bachelor's degree required.
  • 2+ years as an administrative or executive assistant.
  • Excellent professional communication and computer skills, including Microsoft Office Suite (Word, PowerPoint, and Excel, and Outlook).
  • Knowledge of Practifi, Salesforce, or eMoney systems a plus.
  • Exceptional writing, editing, and proofreading skills.
  • Exemplary planning and time management skills.
  • Strong initiative, superior organizational skills, and advanced problem-solving.
  • Ability to work in a fast-paced atmosphere and effectively prioritize while maintaining exceptional customer service skills.
  • Experience at a legal, trust services, wealth management, or project management firm a plus.
