As an Administrative Assistant, you will play a crucial role in providing support to our Principals, Superintendents, and the office team. Your responsibilities will include, but are not limited to:
- Answering and directing calls to the appropriate personnel.
- Responding to emails and voicemail messages promptly and professionally.
- Greeting clients for in-house meetings and design reviews, ensuring a positive experience.
- Maintaining a clean and welcoming office environment for both clients and team members.
- Managing office supplies, trades, and accounts efficiently.
- Updating company calendars with important dates and events.
- Performing office inventory and handling ordering when necessary.
- Conducting clerical tasks such as scanning, filing, and organizing documents.
- Creating and maintaining well-organized files for easy retrieval.
- Drafting various company documents as needed.
- Tracking insurance certificates, licensing documents, and company registrations, ensuring timely renewals.
- Data entry, maintaining vendor information, and basic invoice coding.
**Job Requirements:**
- 3-5 years of general work experience, preferably in an administrative role.
- Good written and verbal communication skills.
- Working knowledge of Google Workspace, Microsoft Word, and Excel.
- Personable and self-driven with a proactive approach to tasks.
- Ability to handle multiple responsibilities and prioritize tasks effectively.
