Department SCHOOL OF BUSINESS & ECONOMICS (NW-BUS-IUNWA) Department Information The Indiana University Northwest School of Business and Economics provides a premier business education to the citizens of Northwest Indiana through AACSB International accredited undergraduate and graduate programs emphasizing our distinctive competencies in teamwork and leadership. This education enhances the understanding of diversity, global business, and the application of technology. The MBA program focuses on executive leadership development.

Job Summary Provides administrative support for the Dean of the School of Business and Economics. Serves as an informational resource to a variety of university stakeholders, including faculty, student and members of the community. Department Specific Responsibilities Maintains personnel files for full-time, part-time faculty and staff; Process new hire paperwork for part time workers; Serve as first contact for individuals interested in meeting with the Dean; Books and prepares travel requests for faculty and staff; Prepare minutes and materials for School committee chairs and program directors, if needed.

Develop and maintain a system to track and access internal and external documents. Posts expenses and income; pay bills; transfer funds; Monitor accounts for accuracy and alignment with budget projections. Maintains School web-based accounts across multiple platforms; Assist in the distribution of promotional materials to all constituents.

Assists in coordinating and arranging special events. Available to work before or after normal business hours or on weekends on occasion when needed, including at off-campus functions. General Responsibilities Provides administrative support to executives, exercising confidentiality, tact and diplomacy.

Utilizes business software applications to prepare correspondence, reports, presentations, agendas, minutes, etc. Receives, screens, and directs incoming calls, visitors, mail, and email promptly, courteously, and accurately Manages executive's calendar, meetings, travel, correspondence, and budget. Acts as informal resource for colleagues with less experience; responds to more complex or escalated inquiries Identifies, enhances, and follows specific processes and procedures to maximize the efficiencies of the business to which the support is being provided.

May perform other duties related to maintaining an internal website and/or working with social media. Qualifications EDUCATION Required High school diploma or equivalent (such as HSED or GED) Preferred Bachelor's degree WORK EXPERIENCE Required 4 years of relevant experience SKILLS Required Excellent organizational skills Demonstrates ability to maintain confidential information Strong verbal communication and listening skills Excellent collaboration and team building skills Demonstrates excellent judgment and decision making skills Effective conflict management skills Preferred Demonstrates proficiency in working with web-based applications, office productivity software, and experience with financial information systems. Ability and willingness to learn new technology Maintains a high degree of professionalism and discretion Demonstrates time management and priority setting skills to handle multiple projects simultaneously Demonstrates a high commitment to quality and accuracy Excellent interpersonal skills with the ability to build strong customer relationships, with both internal and external stakeholders Commitment to working with people of diverse and multi-generational backgrounds Must have reliable transportation for off-campus events Possess a god sense of humor, flexibility and adaptability Working Conditions / Demands This role requires the ability to effectively communicate and to operate a computer and other standard office productivity equipment.

The position involves sedentary work as well as periods of time moving around an office environment and the campus.
