The Clinical Administrator is generally the first contact with TLW Transformation Center and must uphold a high standard of communication, behavior, and attitude when communicating with clients and other professionals. The Clinical Administrator is responsible for performing a variety of duties in the coordination of scheduling services for clients, intake process, and referral requests. This will include making outbound calls to schedule client’s appointments and verify insurance information. The Clinical Administrator will be responsible for determining whether authorizations and / or referrals are required for requested services and ensuring required documentation has been provided. The Clinical Administrator will be required to document actions taken on an authorization or service request to ensure the request history is captured for future reference. With an emphasis on quality and urgency, an Admissions Coordinator is expected to communicate seamlessly with clients, families, providers, and internal staff to ensure our prospective clients receive timely access to care.
Duties Include
· Responsible for assisting with the day-to-day scheduling adjustments.
· Coordinating and assisting major and minor scheduling changes as directed.
· Supports clients and clinicians during center-based based services.
· Prepare and maintain client files in accordance with TLW Transformation Center policies and HIPAA standards.
· Act as the greeter for the center and maintain a warm and welcoming environment providing excellent customer service.
· Attend required trainings and meetings.
· Schedule intakes and answer referral questions.
· Collecting/requesting client’s required documentation
· Enter and maintain accurate client and Caregiver records into the system of record.
· Ability to effectively prioritize workload. Ability to work independently and as part of an integrated team.
REQUIREMENTS:
· High school diploma or GED.
· Minimum 2 years of administrative experience.
· Ability to execute active listening and problem-solving skills to provide exceptional customer service.
· Ability to react to day-to-day operational requirements in a professional and timely manner.
· Excellent interpersonal relationship skills and the ability to work with individuals of all levels.
· Interacting and supervising the floor schedule.
· Assisting with client behaviors as needed.
· Proven strong written and verbal communication skills, including phone and e-mail etiquette.
PREFERRED QUALIFICATIONS:
· Bachelor’s degree in health administration, business, or related field.
· Bilingual in English and Spanish.
