Position Summary
The Administrative Assistant is responsible for providing clerical support and related services to the Sisters and staff. The Administrative Assistant performs general office procedures and works under minimal supervision. A high level of confidentiality is exhibited by the Administrative Assistant and must be able to work respectfully and cooperatively with Sisters and staff.
Primary Responsibilities
- Prepare newsletter at least seasonally
- Maintain database of Sisters and Donor database
- Answer and direct phone calls and assist staff in learning new phone system
- Send acknowledgements of donations received
- Prepare bank deposits
- Assist in the preparation of reports
- Provide annual updated Address Directory of Sisters
- Order office supplies and coordinate vendor/supplier maintenance
- Book travel arrangements
- Publish monthly staff calendar
- Assist Leadership in preparing and sending community emails and feast day greetings
- Provide general support to visitors
- Assist in preparing luncheons occasionally
Requirements and skills
- Proven experience as an Administrative Assistant
- Knowledge of office management systems and procedures
- Working knowledge of office equipment including printers and fax machines
- Proficiency in Microsoft Office and Database experience a plus
- Knowledge of religious life
- Excellent time management skills and the ability to prioritize work
- Attention to detail and problem solving skills
- Excellent written and verbal communication skills
- Strong organizational skills with the ability to multi-task
- Ability to work both individually and as part of a team
- Good interpersonal skills and ability to keep confidences

Job Type: Part-time
Pay: $23.50 - $25.50 per hour
Expected hours: No less than 20 per week
