Key Responsibilities:
- Provide administrative support to ensure efficient operation of the office
- Serve as the first point of contact for clients via phone, email, or in person, providing exceptional customer service
- Maintain and update client databases, ensuring accuracy and confidentiality of the information
- Prepare and distribute regular reports on loan activity, financial performance, or other metrics as required by brokers
- Assist with marketing efforts, including preparing materials, managing social media accounts, and organizing events
- Order office supplies, manage vendor relationships, and ensure the office environment is organized and efficient
- Manage calendars for brokers, schedule client meetings, and coordinate conference calls
Experience:
- Previous administrative experience, preferably in a financial services, real estate, or mortgage brokerage environment (preferred but not required)
Education:
- High school diploma required; a degree in business administration, finance, or related field preferred
Skills:
- Ability to handle multiple tasks simultaneously, prioritize work, and manage time effectively
- Excellent communication and customer service skills
- Ability to handle confidential information with discretion
- Ability to review documents for errors in grammar, punctuation, spelling, and formatting
- Professional demeanor, proactive, and able to work independently as well as part of a team
- Strong organizational and time management skills
- Handle confidential mortgage and loan documents, ensure proper filing and retrieval system
- Enjoy working in a fast pace environment
