The Administrative Assistantat SGH in our New York office will handle a range of administrative responsibilities while supporting the day-to-day activities of technical staff. Your skills in time management, the ability to prioritize, and your proactive work style are key value drivers for SGH. Your passion for coordination, coupled with a can-do attitude, approachability, and responsiveness, are instrumental in driving our success. A proactive problem-solver, you are focused on finding solutions by building trusting and collaborative relationships by working effectively with staff at all organizational levels and departments across the company. A successful Administrative Assistant will be eager to learn competency in SGH document styles and administrative best practices at SGH.

This fully in-office position may require the ability to work a flexible schedule and overtime as necessary. Regular overtime may be necessary during times of heavy volume.

What You Will Do:

Effective Office Operations and Administration

  • Coordinate and assist staff with meetings, office events, presentations, client seminars, lunch talks, etc. Includes creating and managing calendar invites, getting permits/COIs, ordering food, setup, and breakdown.
  • Assist technical staff with architectural/engineering licenses. Complete applications for new licenses and license renewals, update license information in Vision, monitor license renewal dates and track continuing education credits.
  • Coordinate travel arrangements for SGH staff working in Concur and with our travel partner, Direct Travel.
  • HR liaison duties, including new hire onboarding and managing orientation ambassador responsibilities.
  • IT liaison duties, including working with the IT department to troubleshoot issues with conference rooms, staff workstations, and receiving and setting up equipment, etc.
  • Track status of SGH staff (in / out of office) as needed using online sign out system.
  • Provide back-up coverage for front desk responsibilities when needed, including greeting visitors and maintaining visitor sign-in log, answering incoming calls and inquiries appropriately and efficiently, and managing incoming and outgoing deliveries for the office, and assisting with maintaining office common areas.
  • Process and file expense reports for technical staff in a proactive and timely fashion.

Effective Document Management and Processing Support

  • General and technical document processing, including proofreading, editing, and formatting documents to approved SGH style while promoting SGH standards of quality.
  • Support document reproduction needs of the office, including:
    • Coordinate with third-party reproduction vendor and obtaining schedule and cost estimates, for projects.
    • Scan and electronically save documents and drawings.
    • Prepare electronic dead files as requested.

What You'll Need:

  • 3+ years of administrative support experience.
  • Experience in a fast-paced environment.
  • Business and technical document preparation experience (legal or engineering industry preferred).
  • Microsoft Office Suite proficiency required.
  • Able to perform some physical duties, including lifting at least 25 lbs.
  • A track record of excellent skills in organization, attention to detail and high level of quality, setting priorities and time management, communication (written and verbal), and customer service.

Working Conditions:

While performing the duties of this job, the employee is regularly required to sit for long periods of time; talk or hear; perform fine motor, hand and finger skills in the use of a keyboard, mouse, telephone, or writing. The employee is frequently required to stand; walk; and reach with arms and/or hands. Specific vision abilities include close vision, distance vision, depth perception and the ability to adjust focus. The employee will spend their time in an office environment with a quiet to moderate noise level

Anticipated hourly base rate: $32.00 - $38.00. This range is a good-faith estimate. The actual rate offered may vary from the range, as permitted by applicable Pay Transparency Law, and will be based on several factors including the candidate's location, experience and qualifications, education, skills, competencies, and proficiency for the role.

Base salary is a part of SGH's industry-leading Total Compensation package. Our Total Compensation package includes base pay, an annual discretionary bonus program, generous paid time off, and health and wellness benefits with a special emphasis on substantial SGH contributions to medical insurance premiums and SGH's Profit Sharing & 401(k) Plan.
