Position Summary:
The Administrative Assistant provides day-to-day support to the Ithaca Electric Transportation Access (IETA) Project Manager, including a variety of administrative duties, handling phone calls, scheduling meetings, and preparing reports. The IETA Administrative Assistant will foster and maintain positive working relationships with sub-contractors and other project partners. This position requires an individual who is professional, resourceful, highly organized, and results-oriented, with a demonstrated commitment to valuing diversity and contributing to an inclusive working environment and the ability to work efficiently with minimal supervision.
This position reports to the IETA Project Manager.
Pay:
$23/hr
Essential Functions:
Compose, type and proofread a variety of reports, correspondence and agendas.
Take, publish and distribute meeting minutes.
Coordinate all meeting logistics and supplies; follow up as needed to ensure preparation is complete.
Communicate with project partners, consultants, and TCAT staff via email, phone and in person.
Manage and maintain project-related files.
Assist in the research, compilation and organization of information for use in the completion of reports.
Assist with copying and distributing of materials as needed.

Qualifications:
HS Diploma or equivalent; two years college coursework or Associate's degree preferred.
Minimum three years’ experience in administrative/customer service role.
Excellent interpersonal and customer service skills.
Excellent written and verbal communication skills.
Ability to work well with a variety of individuals at all levels of an organization as well as external customers; requires a high degree of professionalism, tact and diplomacy.
Excellent typing and data entry skills.
Experience taking and transcribing meeting minutes preferred.
Proficient in Microsoft Office Suite, Google Suite, and other software programs.
Ability to work with minimal supervision.
Highly organized; meticulous attention to detail; adaptable; flexible; resourceful.
Physical Demands:
Typically sedentary, sitting most of the time while performing work at a desk.
Frequently using fingers to make small movements such as typing, picking up small items and operating office machines. Frequent and regular movements using the wrists, hands and/or fingers.
Occasionally bends, twists, stoops, and crouches in the office and field in performance of essential duties.
Occasionally stands and walks for short periods of time in the performance essential duties.
Ability to lift up to 25 pounds (printed materials, signs, bus vaults.
