GENERAL STATEMENT OF DUTIES:
Administrative Assistant – Materials Assistant will apply administrative expertise and manufacturing experience, combined with experience in Microsoft Office and proficiency in data analysis to ensure consistent support to the NorthGate team. This position is expected to provide accurate administrative support, performing scheduling tasks as well as creating ways to use organization skills to streamline daily tasks and create efficiencies within the department. The position will have the opportunity to build relationships with our team and customers through proficient written and verbal communication skills, coordination of schedules, administration of reports and presentations, The material Support Assistant is responsible for producing work orders and customer allocations for the operations team. The Material Support Assistant will support all activities in the Materials department while effectively supporting operational policies and procedures that support both the customer and Northgate’s objectives to the highest possible quality and accuracy for our customers, while supporting the company’s goals for profitability, efficiency, and safety. Performs related work as required.
RESPONSIBILITIES & AUTHORITY:
- Helping to ensure all inventory is accurate, including an Annual Physical Inventory
- Employee must be very detail oriented, able to multi-task and have problem solving abilities.
- Must be a good communicator.
- Help with daily, weekly, and monthly reports sent to customer.
- Changing Work Orders Bill of Materials when needed
- Auditing work to ensure accuracy.
- Material receipts in customer systems.
- Accounts Receivable matching payments to correct invoices
- Tracking data for customer metrics.
- Back up to Material Coordinator and Material Clerk-including vacations, cycle counting, & purchase order entry
- Participate in Level 10 meetings.
- Assist Supervisor resolving issues with checklists
- Assist job coordinators in reprinting of orders, or issues related to work orders.
- Issuing of all operations work orders and customer allocations.
- Responsible for attending customer operations meetings as deemed necessary.
- Supports the Material Specialist along with all materials processes and procedures.
SKILLS AND JOB EXPERIENCE:
Computer skills, including Microsoft Excel, Word, Access, Outlook and key boarding skills, especially the 10-number keyboard.
- Proficient in mathematical, counting and reading skills.
- Ability to be detail oriented and accurately input data.
- Ability to problem solve.
- Positive attitude and the ability to work well under pressure.
- Ability to communicate effectively both verbally and written.
- Must have reliable transportation.
EDUCATION REQUIREMENTS:
- High school diploma.
