About the Job:
Cochrane Supply is a technology company distributing Building Automation and IIoT products seeking an Administrative Assistant to assist with various administrative tasks at our Headquarters office in Madison Heights, MI. This customer service focused role will be responsible for handling various administrative tasks in the office including handling order confirmations, answering phones and routing calls, ordering office supplies, conference room setup, schedule and coordinate meetings, travel coordination, and other various tasks.
The ideal candidate should be highly motivated and eager to learn and should be able adapt to changing priorities while maintaining a positive attitude. A strong understanding of computers and MS Office products will be required as the company is heavily technology focused.
Hours, Salary, Location:
Full time position, typically 40 hours a week, Monday – Friday, but may require travel to other company locations as well as customer facilities. Salary negotiable and based on experience.
Core duties:
- Answering a multi-line phone system and routing calls to appropriate staff members.
- Assist various departments (HR, purchasing, accounting, sales, tech services, etc) with administrative functions.
- Enter and update technical support tickets into the helpdesk website.
- Assist with registering and invoicing students for training classes.
- Administration functions may include: typing and formatting documents, data entry, filing, assembling books/binders, making presentations, and organizational tasks.
- Greet customers and guests as they arrive in the building and direct them to the appropriate staff members, or to a conference room. Offer them refreshments.
- Coordinate and make travel arrangements (flights, hotel, car, etc) as needed.
- Schedule and assist with coordination of meetings. Duties may include: scheduling meetings via email or phone, sending meeting invitations to appropriate parties, room setup prior to meetings (may need to clean or rearrange the room if needed), room clean up after the meeting, and ordering, setup, and cleanup of meals served.
- Order office supplies and coffee.
- Assist with maintaining the tidiness of the office including the supply closet, copy area, reception area, and kitchen.
- Maintain the vital Cochrane Supply snack/candy supply.
Necessary Experience:
- Highly motivated individual with the ability to multi-task.
- Must be able to work independently to complete assigned tasks from management & other staff members.
- Strong attention to detail and organizational skills.
- Comfortable with MS Office. A minimum of an intermediate proficiency with Excel, Outlook, Word, PowerPoint, and Microsoft Teams (training on Microsoft Teams available).
- Candidate should be professional and presentable as the first line of customer service for the organization.
- Needs to be a good communicator, negotiator and a team player who takes initiative.
- Customer Service (phone, email, and in-person).
- Qualified candidates will have good listening skills, can take direction, retain new concepts, and learn quickly.
Requirements: 1-3 years’ experience as an Administrative Assistant or similar role
Minimum Education: High school diploma or GED required. Some college preferred.
