- Previous experience as an Administrative Assistant or secretary in an academic setting or other professional setting.
- Skill in preparing well-written, grammatically correct, accurate documents and correspondence with strong proofreading skills.
- Strong knowledge and proficiency in using Microsoft Office, i.e. Word, Excel, PowerPoint, Outlook, and Microsoft Teams.
- Experience communicating and interacting with various stakeholders in professional settings.
- Flexibility to work evenings and weekends as required for events.
- Bachelor’s degree in business administration, marketing, or related field.
- Previous experience in event planning, preferably in an academic or professional setting.
- Previous experience working with databases.
- Very strong Microsoft Excel skills.
- Strong organizational, project management skills, and attention to detail.
- Ability to multi-task, prioritize workload, and exercise appropriate initiative while working independently or in a team.
- Ability to work in fast paced environment with multiple projects and deadlines.
- Knowledge of Texas State University and Academic Affairs policies and procedures.

This position is responsible for scholarship administration, college event management, coordination with multiple stakeholders, including university scholarship administrators, scholarship recipients, donors, alumni, advisory board members, external stakeholder engagement, and administrative support to the dean’s office.
- Coordinates college events for the Dean’s Office. Responsible for determining needs of the event, planning, organizing, promoting, and executing as the lead as needed.
- Manages event logistics, including venue selection, catering, equipment rental, audiovisual equipment, parking, setup, and tear down.
- Serves as the primary point of contact for all McCoy scholarship administration, to include scholarship applicants. Provides guidance and support throughout the application process.
- Collaborates with other college departments to select scholarship recipients.
- Maintains accurate records of all scholarships, scholarship recipients, and awards.
- Maintains accurate records of all donors, event attendance, and correspondence.
